Job Description

OBJECTIVES & MISSIONS

• Front Office Leader contribute to customer satisfaction by ensuring regular and proactive communications as part of the administrative management of contracts and orders

• They act as the interface between customers, Programs, logistic department, Production/MRO, Supply Chain and Finance. They help cascade contractual objectives and coordinate the orders management through to billing. They assist with the resolution of disputes arising from outstanding bills

• Front Office Learder produce and/or use and/or complete reports and process indicators. They help ensure that the company's objectives are achieved, especially in terms of administrative processing of orders, delivery performance (OTD, SPT, TAT) and billing

MAIN ACTIVITIES

• Manage customer requests/orders:

--verify the compliance of sales documents (orders and/or contracts)

--acknowledge receipt of customer orders

--manage progress on customer orders, working with the departments concerned

--enter orders and manage them in the ERP system

--manage export agreements and clearances, if required (TBC)

• Authorize/ensure deliveries:

--ensure that orders meet export control, trade compliance and credit management requirements, in accordance with Safran's internal control rules

• Invoice customers:

--implement and monitor billing schedules

--prepare and verify invoices and credit notes, in accordance with contracts and financial and tax rules

--forward invoices to customers

• Handle disputes:

--handle customer complaints and resolve billing, sales, and logistics disputes

--contribute to recover overdue payments in collaboration with the Credit Management

• Help produce reports:

--assist with the preparation and circulation of dashboards needed to manage the Sales Administration activity and for customers

• Assist with any audits that may be organized (by the Audit and Internal Control Department, French defense procurement agency or equivalent, ISO, CAC or equivalent, customers, internal control, etc.) and customer meetings

• Contribute to the Sales Administration function's continuous improvement actions and cross-functional initiatives

Deliverables

· 
Ensure processes and tools are adopted and correctly used by sales administrators and help improve them: draft and manage the improvement plan to ensure that sales administration performance targets are reached

· 
Help ensure that OTD (On Time Delivery), Turnover and cash flow targets are reached by adapting sales administration objectives:

 handling of customer requests

 billing responsiveness and accuracy

 handling of disputes

 reduction of credits

 customer satisfaction

·  Ensure compliance with business effectiveness criteria: quotation time, compliance with deadlines and contract margins when bids are prepared

Job Requirements

REQUIRED SKILLS & QUALITIES

Knowledge

• International sales (Incoterms, multicultural approaches, etc.), Sales contracts

• Professional proficiency in English and Chinese

• Logistics (export, customs, etc.), Export Control, and Taxation, accounts and financial (VAT, pricing management, etc.)

• Civil and/or military regulations

Skills
