Job description

To provide administrative support to the Procurement and Building team on a variety of tasks across a number of spend categories. Deliver timely supplier data management and financial coding to ensure accurate and professional cost allocation and spend report and analysis. Working across some of the businesses key supplier relationships within the Indirect Procurement categories, including business travel, fleet, mobile telecoms, insurance and off site storage. Acting as a first line of support to employee questions around suppliers of these services. Opportunities to work alongside some of our key supplier relationships during both internal and market reviews This role is offered on a fixed term basis covering maternity leave.

·  Administration

Responsible for monthly supplier invoice coding for Finance across around £3.5m of spend pa.

Maintain the Fleet Database and vehicle allocation process in conjunction with key fleet suppliers.

Utilise HR employee information to ensure correct coding and allocation of company assets from mobile telephony to offsite storage and fuel cards.

Placing hire vehicle bookings online.

Manage the driver license checking supplier and database.

Assist in conducting supplier performance reviews and help to ensure the highest level of support and value for money.

 

·  Reporting

Create bespoke reports from supplier MI that provide a regular rolled up trend analysis and work with providers to ensure data is received in the best format for our requirements.

 

·  Building Support

Actively support new initiatives that promote sustainable office service solutions with research of new initiatives and best practice from across industry.

Provide the onsite ‘meet and greet’ to external building contractors for office services including planting, furniture moves, confidential waste and storage management.

Create and maintain a supplier contracts database holding key terms and dates for our main suppliers.

Create business travel profiles for all employees.

Support the review of the preferred design and print suppliers alongside the category manager.

Your experience includes:

(proven performance in)

· 
Understanding of purchasing / Supply Chain basics.

· 
An enthusiasm for Supply Chain or specifically purchasing

· 
Experience of working with external suppliers.

· 

Intermediate level of Microsoft Excel Confident and clear written and verbal communicator Good level of numeracy Supply Chain degree, CIPS qualification (any level) or work experience in a related role would be an advantage

· 

Fluent in English
