·  Reception Duties

- Answering phones, ensuring visitors are taken care of; maintain a clean front area at reception, and creating a pleasurable atmosphere for reception area not only for our visitors, but for our employees as well.

- Supervises and ensures the efficient operation and coordination of the Montreal Office; boardroom / meeting rooms, kitchen, office supply room, reception area, common meeting areas, etc.

- Responsible for the Montreal Office space and for ensuring that it meets the Red Bull brand image and standards.

 

·  Administrative Support

- Coordinates all administrative requests in a manner that will ensure satisfactory results, while maintaining efficiency and professional relations with all staff.  Prioritizes requests and assigns the work accordingly.

- Ensures the smooth and efficient operation of in-house shredding, supply room, bottled water system, plant watering, all courier packages, and mail outs.

- Manage and submit all office related expenses to finance with the proper coding, in a timely manner.

 

·  Task & Project Management

- Revises and translates English to French documents to ensure communication is executed and inline with the tone and voice of Red Bull, in an excellent French.

- Manage Consumer Affairs for the entire Eastern Business Unit in a timely manner.

- Supports BUD with different administrative tasks such as filling, organizing and creating templates and documents as well as assisting on specific projects. The Office Manager is always seeking ways to help with efficiency in order to create a more organized and productive workplace.

- Coordinates and executes all employee business card orders as well as stationary orders and distributes Red Bull Canada and Distribution Partner’s contact list as they are updated.

- Oversee infrastructure (POS) management system and manage conflicting infrastructure requests.

- Organize staff celebrations and and support the organization of team builders (i.e. arranging logistics, purchasing gifts, booking events)

 

 

 

·  Business Unit Support

·       Collaborates and interacts with others in a mutually supportive and cooperative manner that reinforces the concept that staff at all levels are expected to seek ways in which they can support and assist others to achieve expected results, as well as to be effective in their own accountability areas.

- Work with the Eastern Business Unit’s Field Marketing and On-Premise Teams and assist in the hosting of events within the Red Bull office. This includes, but is not limited to, event calendar management, scheduling, booking Special Occasion Permit, renting glassware, hiring security, arranging post event clean-up, catering, etc.

- Coordinates all boardroom and equipment setups, videoconference, overhead projectors, etc.) and bookings. In some cases, responsible for writing and distributing the meeting minutes.
