· Maintain and update Front Desk policies and procedures for one of our Santa Monica facilities. Daily duties include answer phones, greet visitors, manage and maintain office supplies, manage incoming and outgoing packages and mail.
· Oversee day porters at the office to ensure compliance with building standards at all times.
· Work closely with building engineer and facilities coordinator to communicate work orders and repairs needed while tasks and urgent items receive appropriate priority.
· Key point of contact at the office for select vendors: Janitorial, Parking, Pantry Supplies, Pest Control, Towels, interior plant vendors, courier Service, Office supplies vendor.
· Serve as key point of contact at the office for after-hours events. Ensure that event forms are on-file and properly filled out. Ensure necessary third party vendors adequately staff the event.
· Support execution of annual fire drill – ensuring that the office emergency book is up to date.
· Maintain and update Vendor Lists each quarter.
· Update and administer all three HQ email distribution lists.
· Process vendor invoices relating to temp staffing, office supplies, and vendor services invoices
· Support Facility and Real Estate team with ad-hos requests and tasks as needed.
· Ensure the maintenance of building design and aesthetic standards at all times.
· Alert department management of any deficiencies or shortfalls to ensure a timely correction.
· Be part of the solution rather than reporting problems.
· Serve as ambassador and supporter of RBNA café operations to promote and actively partake in our continued efforts to establish Camp Stewart café as the preferred provider of catered lunches and events.
Your experience includes:

Strong sense of responsibility and ownership, and excellent attention to detail. Ability to spot and follow up on open action items and complete assigned tasks without prompting.

Ability to ask necessary follow up questions. Ability to spot and correct typographical and other errors; excellent proofreading skills

Intermediate skills in Microsoft Word, Excel and PowerPoint.
·
Ability to operate a busy telephone switchboard
·
Ability to accurately relay messages and interact with callers and visitors in a welcoming and assisting manner
·
Excellent problem solving skills
·
Excellent multi-tasking skills
·
Ability to provide proactive follow up to tasks assigned
·
Knowledge of office methods, procedures and common office equipment
·
Ability to communicate effectively, both verbally and in writing
·
Outgoing personality with excellent people skills
·
College degree preferred, not required
·
Speak, read, and write fluent English - Spanish a plus, German a plus
