Job description

The National Event Logistics Specialist is a liaison between our headquarter operations department and marketing/sales departments. Working alongside the National Event Logistics Manager, he/she will provide strategic and operational support to both our Regional Event Logistics teams and our USHQ event teams. This role is responsible for creating and divulging best practices, managing event labor and service providers, managing event asset’s life cycle, and ensuring successful event experiences that align with the Red Bull brand promise.

·  Event Asset Management

Acquire and maintain expertise on national event inventory

Manage national event inventory in a proprietary warehouse management tool

Coordinate annual event asset forecasts

Conduct monthly event asset orders and inventory audits

Analyze inventory, asset usage, and volume through reporting

 

·  Event Logistics Software Management (Inventory Management Software - IMS)

Responsible for troubleshooting Event Logistics Software (ELS) issues

Create and maintain training content and conduct training sessions as needed

Identify business needs that require changes to the software

Collaborate with IT development teams to problem solve existing issues & implement software enhancements

 

·  General Event Support Activities

Manage event requests/orders from USHQ colleagues

Collaborate with other departments in the planning of USHQ events (on and off campus)

Manage spend expectations with budget owners

Conduct post-event budget reconciliations

Coordinate roundtrip transportation of event assets

Manage setup and strike of RBNA event assets

 

·  On-site/Internal Event Planning

Collaborate and ideate with business colleagues to create engaging employee events

Manage event details including but not limited to décor, catering, sourcing vendors, and budget

Overseeing run of show, providing general event support and troubleshooting any issues

Create and publish event recap

 

·  Vendor Management

Ensure resources fulfill business needs

Conduct regularly scheduled and as needed trainings

Set expectations/Standard Operating Procedures (SOP’s)

Identify performance opportunities & deliver feedback

Manage Scope of Work (SOW) to meet budget/spend requirements

 

·  Field Program Support

Lead national projects in collaboration with regional manager support

Publish and share best practices across field programs

Collaborate and incorporate regional managers' feedback to drive standardization

Your experience includes:

(proven performance in)

· 
Minimum 3 years’ experience in positions related to production, warehousing, logistics, or transportation.

· 
Proven record of success with managing the event process from concept, preplanning, execution, post event reconciliation.

· 
Ability to translate hands on experience into manuals, best practices and SOP's

· 
Analytical skills with Microsoft Excel.

· 
Presentation and PowerPoint skills.

· 
Strong organizational and problem-solving skills.     

· 
Excellent written and verbal skills.

· 
Extensive skills with project management.

· 
Experience with managing staff.

· 
Familiar with budgetary process.

· 

Bachelor’s Degree in a field relevant to the position requirements

· 

Fluent in English
