Key Lines Process Coordinator

Purpose of role:
Responsible for the Coordination, Organisation and Execution of the Key Line Procurement Process
Reports to: Reporting into the Key Line Process Manager
· Support the Key Line Process by ensuring all relevant product categories are captured through E-Auction and face to face negotiations as required.
· Support and coordinate the capability to run E-Auctions at any point during the year.
· Work with the Head of Key Lines and Key Line Process Manager and the Buying Teams to ensure all categories are suitably diarised.
· Ensure that each Product Category has a Buying Lead and liaise with them and ensure Buying product planning and coordination meetings happen in a timely manner.
· Ensure that all relevant products are included and their technical product specs are sent to suppliers in advance and confirm costings are accurately measured.
· Working with the Keyline Planner, ensure all of the relevant product information is available to design and build E-Auctions in line with the critical path.
· Monitor upcoming E-Auctions to make sure all participants have logged in, checked and validated information in the event.
· Working with the Product Operations Team, ensure that all suppliers have been trained to use Scanmarket E-Auction tool.
· Ensure that all suppliers team names are included in the Visitors log for Arthur Ryan House.
· Ensure that appropriate rooms are booked to accommodate suppliers and buying teams.
· Ensure that suppliers time in Arthur Ryan House is used in an efficient manner by organising meetings with Buying Teams and Central Function Teams as required.
· Working through the Key Line Planner and the Coordinator, ensure that Purchase Orders are raised to successful suppliers at the conclusion of each product category in a timely manner.
Experience:
· Successful candidate needs to display very strong organisational skills and must be able to manage tight deadlines, display agility and flexibility in adapting to ever-changing circumstances and timelines.
· Successful candidate must have very strong communication skills to continually inter-act and manage multiple stakeholders as part of the same Key Line process.
