Job Purpose:
This is a project role in the PLS Scientific Events Team. This role supports the development, execution and management of assigned Scientific Events in relation to an Information, Communications and Events (ICE) Plan for brands, ensuring alignment with the customer’s objectives. During an assigned project, the Scientific Events Project Specialist works in a team supporting the Scientific Events Leads or Scientific Events Managers to ensure the effective delivery of scientific events, in line with the internal customer specifications. The role provides projects support to the Scientific Events Lead / Event Manager across the delivery lifecycle with agreed specific project responsibilities which will help the PLS team members focus on their responsibilities.
Job Responsibilities:
• Responsible for project management support to the Scientific Events Lead / Events Manager, so as to ensure the end-to-end effective project delivery of the designated publication/medical education deliverable across all phases:
• To initiate the project and determine scope.
• Conducting briefing and initiating event approval.
• Obtaining approvals, organizing and preparing invitations (faculty management).
• Preparing for the event (pre meeting preparation and management, including content in liaison with customer team).
• Supporting delivery of event and onsite management.
• Producing meeting report and conducting follow up activities.
• Support the Scientific Events Lead / Event Manager with the development of a scope of work.
• Build plan and schedule agreement with the internal customer .
• Arranging key internal and external customer meetings.
• Tracking of the delivery of activities (including managing issues and risks) and supporting follow ups.
• Supporting required approval processes for external expert contracts.
• Support for all Event Governance processes including event approval processes.
• Supporting required submission, compliance and approval activities , and ensuring compliance with NVS publication processes and use of publication management tools.
• Supports the management of the assigned publication or medical education in line with the agreed budget.
• Supporting and managing as required external spend tracking (e.g. ap-provals, purchase orders, goods received)
• Supports adherence to associated compliance related activities and approvals (with internal customer taking accountability for compliance).
• Updates as required within approval / compliance tools (e.g. Zinc, GMA publication review process) & Data vision.
• Supports the Scientific Events Lead / Manager with required internal and external customer liaison.
• Supports continuous improvement in the process flow for developing publications and medical education, e. g. improved work-flow steps.
Desired profile
Minimum requirements
Qualifications:
University degree level / Graduate degree, preferably in science. Additional relevant postgraduate degree desirable. Fluent English (oral and written) An additional language would be desirable Ideally. +1-2years of experience in Medical communication/pharma with project management experience is preferable.
