Job Description

Overall purpose of the role: • Manage the administration process for joiners and leavers (updating HR Database and assisting with the manual inputting of data in this and the Payroll Spreadsheet) • Produce the weekly Staff Movements list to ensure that IT and other departments have accurate information on joiners, leavers, transfers and extension to contracts • Assist with chasing line managers for signed Job Descriptions and assisting with ensuring that Job Descriptions are in the correct template • Ensure that Job Descriptions are saved in the central HR & Compliance folders and on employee files and the HR Database is updated with new job titles and reporting lines. Produce a regular report on the status of outstanding JDs. • Ensure hard copy HR files are kept up to date with paperwork and leaver paperwork is transferred and filed correctly • Ensure former employee files are archived on an annual basis • Maintaining offer packs, ensuring hard copy forms are printed and available for adding to offer letters • Ensure that relevant paperwork is sent to employees who have a change in job title / reporting line • Ensure accurate data is stored in the online absence system e-days, related to reporting lines and team structures • Update HR Database and online absence tracking system with contract extension data • Assist with the filing of background data and follow up with employees when information is missing • Assist with the processing of invoices related to background checks, recruitment and training • Assist with booking rooms and arranging materials and refreshments for internal training • Maintain the Organisational Chart each month, ensuring new joiners are accurately located in the correct team and checking with Compliance as to whether they have a Private status • Respond to employment and tenancy reference requests in a timely manner • Arrange inductions on a fortnightly / monthly basis Reporting • Run weekly reports from the HR Database to ensure; o Probation forms are sent to managers and deadlines are met o Upcoming leavers are flagged to the HR Officers, checking with the Recruitment Coordinator on whether teams are currently actively recruiting for the replacement of existing interns, assisting with producing the relevant extension to contract paperwork • Produce reports and data quarterly relating to the Balanced Scorecard (Tableau du Bord) • Produce weekly reports from the headcount, budget and forecasting tool and ensure all joiners and leavers are accurately tracked in the database • Assisting with fortnightly and quarterly sickness reporting • Assisting with reporting on employee mandatory leave for Compliance Recruitment • Assist the Recruitment Coordinator with arranging interviews, ensuring that rooms are booked and diaries are up to date • Respond to unsuccessful applications with the assistance of the Recruitment Coordinator • Help with the advertising of Intern vacancies on job boards • With the help of the Recruitment Coordinator ensure the smooth running of the Applicant Tracking System (TalentLink), making sure it is kept up to date • Assist in reviewing and pre-selecting applicants from LinkedIn and other sources Benefit Administration • Help HR Officers with the setup of weekly, yearly wellbeing events • Update new joiner data on the benefits portal on a weekly basis (Darwin) • Organise new joiner pension meetings with AON Projects / Other • Assist in ad-hoc projects including production and distribution of letters and reports • Perform research on Apprenticeship Levy options and on potential training providers for requested training topics • Other miscellaneous duties as required
