The opportunity is for an Administration Assistant on a 6 month fixed term contract at our Minworth Distribution Centre in Sutton Coldfield, West Midlands and is responsible for recording and reporting monthly KPIs and WIP requests, scheduling International inbound Loads to the DC, chasing and action on Proof of Deliveries and working closely with Mondelez Business Services on disputes.

 

The successful candidate will develop key relationships with DHL (Transport), Bournville Manufacturing and Co-packers, MBS and as well as maintaining relationships within the Distribution Centre with Operations Manager, Stock Team, Team Managers and Warehouse Planners to ensure that Minworth DC Service level is maintained at target of 99.7%.

 

Responsibilities:

 

Daily reconciliation and chasing of PODs

Deal with all Accounts Receivable claims via SAP Dispute Management System and recording details on check sheet

Process daily WIP requests for 3 rd Party Co Packers and Bournville Manufacturing including Best Before End dates and batch code details

Site throughput for inbound and outbound loads recorded on a weekly basis using inet

 

Process all freight billing costs

Check and record all 2XL invoices for Tesco deliveries

Daily Sap Report for Tesco Epod and check against Tesco website

Scanning of all paperwork and filing on the system accordingly

Schedule international inbound loads for Minworth, liaising with all hauliers and LCC

 

Meet and greet Reception guests.

Process post and accept parcels on behalf of Mondelez, DHL and Facilities Management Company

Adhere to all on site Health and Safety Procedures and participation in any special events

Complete Loss Control tours for the site

Participate in Community events with support to local charities and Wilson Stuart School, in particular preparation and administration of charity hampers, enabling Minworth to meet site target of 30% participation

Maintain work processes to ensure adequate holiday cover is in place

Cover as and when required other Admin Members

Qualifications

• Fluent English, written and spoken
• Excellent analytical, numeracy and communication skills
• Able to work quickly and accurately

 
• Able to manage their own time to achieve daily targets
• Must be a team player who is capable of working on their own initiative
• Able to demonstrate a competent level of systems knowledge and application
• Must be flexible in approach to work and shift patterns

 
• Able to maintain a high degree of confidentiality
• Hands on experience in Microsoft Office applications
• Experience in a customer facing role
