The job opportunity:
Working within the 'iHub' as part of a friendly, motivated, energetic and supportive team the role of the Information Support Assistant (ISA) is to undertake information management, administration and assurance duties, including the build and support of electronic collaborative working environments using Microsoft SharePoint and other specialist software, delivering one to one training and support to users on managing information and electronic ways of working, and applying MOD policies to ensure that the organisation complies with their departmental and legal obligations (including Data Protection, Copyright and Public Records).
Due to the specialist nature of the role, on-the-job training and mentoring is provided offering an opportunity to learn and develop new skills and experience.
The ideal candidate will be a problem solver, be able to demonstrate a good level of written and spoken English and have an interest in and aptitude for working with technology, with an above average level of IT literacy overall. Using a range of information systems and software in a Microsoft Windows and Microsoft Office/Office 365 environment, activities might include building and support team sites using SharePoint, resolving issues and assisting users, creating user guides using Word, creating spreadsheets in Excel, including the use of calculations/formula, creating and editing presentations using PowerPoint, routine use of Outlook to manage emails and calendars, and file and folder management.
About the Defence Academy
The Defence Academy delivers higher education to the Armed Forces, Civil Service and other Government departments. Located in a spacious rural setting on the Wiltshire/Oxfordshire border, the site has a wealth of activities and clubs open to staff such as fitness centres, outdoor sports pitches, cricket, tennis, badminton and squash courts, running tracks, a golf course, riding stables, and an outdoor heated swimming pool (open from May to September). Social events, both large and small take place throughout the year. There is also a selection of dining and snack facilities, several cash machines, ample free parking and free Wi-Fi on site. A regular local bus service connects Shrivenham to the town of Swindon (7 miles) and city of Oxford (24 miles).
Main duties:
· Information management, compliance, assurance and administration across Defence Academy local and MOD wider networks (AcademyNet), MOD wider networks (MODNET) and traditional physical (paper) environments.
· Management of user requests for access to systems and information.
· Providing timely, high level, dedicated and quality customer support.
· Creation, management and support of electronic filing systems using Microsoft SharePoint and other specialist software.
· Advise staff on collaborative ways of working and the effective use of IT applications available to their Department.
· Provide workable solutions to issues/problems. Make sensible decisions and take action based on best available information.
· Support as required to the MOD Information Services team in application of the Defence Academy Information Assurance Policy, Defence Academy ICS Strategy and assurance of network accreditation status.
· As required by the iHub Supervisor and/or Head of Library Services, you will be expected to carry out any other reasonable duties for which you are trained and competent and which fall within the general scope of the post and grade.
Eessential skills, knowledge and qualifications:
· An interest in working with and exploiting technology, with an above average level of general IT literacy, including Microsoft Windows and Microsoft Office.
· Confident and assertive with an ability to communicate professionally at all levels
· Ability to work unsupervised and proactively manage workloads, and be able to cope under pressure with conflicting demands of customer and colleagues
· Ability to work well in a team to establish and maintain effective working relationships
· Previous experience or knowledge/understanding of general office practices is desirable
Additional features:
Successful candidates will be required to undertake security clearance checks at SC level. A uniform will be provided and should be worn at all times when on duty.There may be a requirement to use MOD-provided vehicles on behalf of the MOD's business either as a driver or passenger.
