MAINPURPOSE OF JOB

The Tender Analyst is responsible for handling all administrative tasks from tender announcement until contract expiration. Main duties include being the gate-keeper of all contracts, owner of contract registry, creator of customer value adds, and first point of contact with purchasers in relation to contract validity, quality and masterdata management, being specialist on tender documents and actively support in preparing the tender submission. Contribute to and implement ongoing process improvements in the Contracting and Tender Management team.  This role will be based in Medtronic’s Riyadh office reporting directly to Tender Administration Manager, KSA. 

MAIN JOB DUTIES/RESPONSIBILITIES

·  Gatekeeper of all contracts and owner of the contract registry
·  Finalizing contracts, collect signatures and load contract prices
·  Maintain centralized administration and storage for agreements
·  Monitor contracts and follow up with customers on prolongations, ensuring protocols are signed before expiration after alignment internally with business units
·  Prepare value adds for contracts for external customers in line with contractual obligations
·  Responsible for maintaining contract masterdata and formulate applications for change protocols, ensuring changes are implemented and coordinated both internally and externally after approval
·  Create statistics related to masterdata as specified in contracts
·  Be gatekeeper on all agreements to ensure compliance with running contracts
·  Support internal customers with contract related questions
·  Work with pricing administrator to solve price discrepancy issues and eliminate price overrides
·  Expert on tender admin flow and project coordinator for the tender work
·  Request and distribute tender documents appropriately after announcement
·  Reviewer of agreement drafts coordinating with legal for review if needed
·  Support in set up and organize tender folders with all documents according to customer specifications
·  Coordinates proof reading of documents and compile tender submission & signatures
·  Detail checking all documents (setting up correct print formats, content lists for subfolders, double checking all requested documents are ready for submission etc)
·  Attending the meetings and record pricing during envelopes opening sessions taking place after submitting our tenders to customers.
·  Ensure proper follow up on the submitted tenders and timely replies for all communication with customers related to our offer clarification, extending validity or price negotiation in coordination with the concerned Bus/Finance.       
·  Ensure tender is sent off physically/electronically within deadline and follow up on shipment
·  Uploading/maintenance of sitebuilder sites.

JOBQUALIFICATIONS

Education required/preferred:

·  Bachelor’s degree

Experience:

·  Three years of experience in the local healthcare industry working with tender, contracts, procurement or similar
·  Awareness of tender rules (General Terms & Conditions) as well as governmental laws & regulations

Skills/Competencies:

·  Collaboration skills to gather necessary information and build trust
·  Time management, workload management & prioritization
·  Ability to communicate across all levels of the organization and with procurement customers
·  Detail oriented
·  Ability to understand process flows and provide recommendations for improvement.
·  Self-motivated and able to work with a minimum of supervision
·  Fluency in English and Arabic required
·  Must have flexibility in working hours in order to ensure tender documents are completed within deadlines given.
·  Advanced Microsoft Office skills required.
·  Previous experience with SAP preferred.
·  Customer/Account management skills
