The University & Early Talent Program Coordinator will own creating an exceptional Mars experience for our early talent (ie Graduate and Internship) candidates by supporting the logistical coordination and execution of the suite of University & Early Talent Programs across segments. More specifically, the University & Early Talent Program coordinator will support scheduling, logistics, and recruiting process management of campus and diversity recruiting activations, and supporting the generation of reports and metric collection for early talent activities in the region. 

 

Key Responsibilities:

·  Partner with the Win on Campus ambassadors to co-ordinate the Win on Campus activities to ensure that the Mars associates working on the various teams have the necessary tools, messages and support needed to drive effective support on their respective campuses.  
·  Logistics Point of Contact for Campus ambassadors and vendor.
·  Serve as a first point of contact to all prospective graduate and internship candidates throughout the recruitment process and provide relevant information.
·  Screen candidate credentials in line with the entry profile of our Graduate and Internship Programs.
·  Consolidate key candidate insights after each stage in the recruitment process to filter out unsuitable candidates and to provide insights into the subsequent stages of recruitment.
·  Drive interview scheduling (both candidate and assessors) and manage calendars.
·  Format candidate documentation and applications.
·  Support on and offsite interview logistics.
·  Provide support for online activities linked to our Graduate and Internship Programs as required by the Employer Reputation team to drive support specific University/student attraction campaigns.
·  Own follow up to candidate questions and support candidate communications over the course of the recruiting process.
·  Responsible to set up and generate key Talent Acquisition reports and extracting key insights in a timely manner when required.
·  Work with agency partners and provide process and logistic information support.
·  Key user of Yello and iTMS Recruiting module for Early Talent Team.
·  Serve as a Mars ambassador throughout the recruitment, pre-engagement, orientation and onboarding process.
·  Liaise with the University & Early Talent team throughout the screening and selection process.
·  Identify areas for improvement and communicate suggestions to management.

 

Operational Execution:

·  Work closely with the University & Early Talent team to enhance the candidate and associate experience through the attraction, recruitment process.
·  Ensure the backend coordination of all attraction and selection activities and processes are managed in keeping with our efficiency and quality principles.
·  Coordinate candidate initial screen, video/ phone screen and schedule interviews for the University & Early Talent team, including assessor schedules.
·  Provide all necessary information to candidates in advance of the interviews (travel information, interview schedule, additional application requirements, etc.).
·  Manage and file candidate paperwork, including offer letters, new hire documents, and background checks.
·  Build a strong Mars employer reputation throughout the recruitment process.
·  Provide timely and accurate candidate status information to the University & Early Talent Program Team and ensure they are well-informed at each step of the recruiting process.
·  Monitor the accuracy of candidate documentation in the applicant tracking system.
·  Identify opportunities to improve scheduling and logistics efficiency.
·  Monitor the accuracy of and extract data as required to track and report on program metrics.
·  Support all logistics as needed for recruiting events – to include but not limited to campus, recruiting events/ conferences, job fairs, promotional events with high degree of detail and accuracy.

 

Requirement of Role:

·  Education Minimum qualification: Advanced diploma; preferably in HR, Business Management.
·  Education Preferred qualification: University degree or equivalent; Combination of education and experience preferred.
·  One or more years of administrative experience or equivalent.
·  Experience working in a highly collaborative team environment.
·  Ability to maintain positive attitude and composure in a high pressure and tight deadlines in a fast paced environment.
·  Experience with the Talent Acquisition process and supporting recruitment team.
·  Ability to navigate computerized system and strong computer skills, PC with experience in Windows, Excel, PowerPoint and other applicable software (e.g. ATS systems).
·  Strong work ethic, excellent follow-up skills, demonstrates imitative and responsibility for the full team.
·  Strong customer-centric orientation.
·  Strong written and oral communication skills.
·  Excellent organizational skills and exemplary attention to detail.
·  Ability to multitask in a fast-paced environment.
·  Strong interpersonal skills with the ability to build relationships.

 

Location can be based in Chicago, IL or Mount Olive, NJ
