We are looking for an Executive Assistant to support Regional Vice-Presidents in Mars Wrigley Confectionery based in Paddington.
THE JOB
The incumbent must have excellent organisational skills, be able to make sound judgements and decisions when required, provide solutions to key issues which arise and the ability to effectively collaborate with senior leaders and peers. This role will report to a Sr. Assistant which will enable aligned support to the team.
KEY RESPONSIBLITIES
· Excellent at dealing with highly sensitive and confidential information showing very high integrity & trust and ability to work discretely in an open office environment.
· Act as first point of contact for the VPs for any requests, calls or meetings – both internally and externally.
· Ability to support different projects and agendas of multiple senior leaders.
· Provide exceptional administrative support to the VPs. This will include pro-active diary management, anticipating events and deciding upon action required, acting upon key requests and resolving issues as they arise. Being one step ahead is key to the role.
· Help drive the effectiveness of the VPs’ regional teams e.g. by supporting planning, logistics and other arrangements for regional meetings and summits - highlighting conflicts, resolving issues and making recommendations as they arise.
· Planning (including proactively suggesting appropriate options) & executing (often complex) detailed domestic and international travel itineraries including all transportation and accommodation. Obtaining all necessary visas and travel documents through company travel agent.
· Actively manage/maintain electronic calendars and arrange telephone/video/telepresence conferences, meetings, and other appointments across multiple time zones.
· Locate, organise and process all expenses using appropriate systems and ensure governance of approval and submission.
· Raise POs using the corporate systems and ensuring suppliers are paid on time.
