JOB SUMMARY 

 

The individual will have the opportunity to work and experience the finance department. Gain exposure to various aspects of purchasing market list and operation sourcing, accounting data verification, documentation, data input and report analysis. Your role will be assigned to the need of the finance department operation, to support purchasing and finance team members in day-to-day activities. 

 

DUTIES AND RESPONSIBILITIES 

·  To support day-to-day running of all activities at the Purchasing Department, Include and not limited: -
·  To prepare daily market list, and store food and beverages for hotel operation 
·  Sourcing for suitable products/ services at the most competitive price. 
·  To ensure all daily purchases are at the lowest possible price and are of the required quality, standard, services, and delivery schedule. 
·  To ensure all quotations are compiled through quotes and bids email. 
·  To ensure all quotations are timely key into purchasing system (BirchStreet) for daily issuing of Purchase Orders. 
·  To ensure all items in BirchStreet System are maintain with 3 quotations unless with valid justification on items less than 3 quotations. E.g. Agent stocks, authorized distributors etc. 
·  To work closely with Receiving team on outstanding delivery, short delivery, discrepancy of order and delivery of items. 
·  To check and verify daily price discrepancies with suppliers and follow up with credit note/ debit notes respectively. 
·  To ensure all regulation certificates (HALAL, Sustainable, SFA) are timely follow up diligently. 
·  To obtain sample for quality evaluation for quarterly or ad hoc promotions blind tasting exercises. 
·  To assist Purchasing Manager in issuing Purchase Order on non-food/ general supplies orders. 
·  To deputize for Purchasing Assistant in her absence. 
·  Perform daily soft copy filing of all documents and administrative works (Quotations/ catalogues and documentations). 
·  To report any irregularities to Purchasing Manager or Director of Purchasing. 
·  To support day-to-day running of all activities at the Accounting Department, Include and not limited: - 
·  Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes. 
·  Organize, maintain accurate all files, records in accordance with policies and procedures. 
·  Record, store, access, and/or analyze computerized financial information. Maintain accurate data spreadsheets for financial and accounting data. 
·  Classify, code, and summarize numerical and financial data to compile and keep financial record. 
·  Check and process billing according to the procedures.  
·  Resolve questions, issues, or disputes from daily operation transactions.

Maintain confidentiality and security of the accounting and property records, files and information.
