Position Summary: As a Reservations and Group Housing Sales Specialist, you will process all reservation requests, changes, and cancellations received by phone, fax, or email. Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate. Explain guarantee, special rate, and cancellation policies to callers. Accommodate and document special requests. Answer questions about property facilities/services and room accommodations. Follow sales techniques to maximize revenue through up selling. Communicate information regarding designated VIP reservations. Input and access data in reservation system. Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department. Oversee accuracy of room blocks and reservations. Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms, and keep organized files of all groups.

Key Responsibilities:

·  Interprets guest needs and provides the right service in a timely manner
·  Actively seeks opportunities to make an emotional connection with the guest, far surpassing their expectations at every opportunity
·  Has knowledge of the hotel Key Account base and builds and maintains professional relationships that facilitate a higher level of loyalty among these guests
·  Handles all calls in a friendly, efficient and accurate manner

·  Use of proper telephone etiquette, answers all incoming calls politely, promptly and professionally
·  Monitors the reservations system daily to ensure that group information is correct. This includes room types, room rates, managing and monitoring
·  cut off dates, billing instructions etc.
·  Uses strong knowledge of the hotel, brand product and local area to help guests enjoy and extend their stay while promoting brand loyalty.
·  Understands room status and room status tracking
·  Familiar with hotel/brand website and brand programs and promotions
·  Aware of daily events and their location taking place in the hotel
·  Participates as a member of the Sales Team by assisting in various sales operations.
·  Attends Sales & Marketing Department and/or hotel meetings
·  Processes all updates to rooming lists prior to the groups arrival
·  Processes individual reservation requests coming through Sales, and Event Managers
·  Processes corporate rate adjustment coming through Sales
·  Processes reservations for Marriott Rewards Guests
·  Processes routing for rooming list+ updating CRS/block notes
·  Processes commissions (blocks, travel agencies, booking.com)
·  Preparing cheque requisition for accounting for Rebates and processing rebates
·  Follows up with group block contacts regarding any reservation and Rooming List prior to arrival.
·  Processes inquiries/ reservations for corporate travlelers coming through BT Sales Manager
·  Communicates any changes/updates from Revenue Team
·  Checks reservations under transient rate codes and changes them to corporate codes when necessary
·  Fixes rates using FIX ME RATE CODE report provided by Front Office Teams
·  Creates group Blocks in Marsha/Opera/CONFIGURATION AND OXI
·  Processes Rewarding Events for qualifying groups and events within seven days after the event or group departs
·  Builds Rate Programs in Configuration and OXI for new corporate or promotional rate codes
·  Creates Reslink for groups reserved by Individual call-in or Rooming List template
·  Creates local accounts for Catering Events
·  Drives revenue by selling, up-selling, booking reservations and providing rate information to maximize occupancy and revenue
·  Strives to master the room product in terms of rates, layout and physical attributes, etc., and sells to the guests needs
·  Provides research to the Revenue Manager on rate and occupancy related issues
·  Strives to fully understand market segmentation to accurately qualify reservations
·  Strives to maintain an accurate and updated filing system of all correspondence and reservation records
·  Monitors third party booking sources (i.e., Tour, FIT)
·  Actualization- Tally revenue between property management system and Marriott system-CI.TY to balance the revenue and ensure the revenues match on both systems
·  Assist Senior Sales manager by sending her new business information each month for her incentives
·  Set up billing and routing for DB accounts
·  Adding rooms or room types to existing room blocks on opera, Marsha and configuration
·  Modifications to group, corporate and tour reservations
Sales Coordinator Responsibilities:

·  Track distribution for next week events for CSM and print the event orders and update the Event order binder
·  Check the opportunities every half an hour coming from CI.TY and assign it to the Event Sales Managers and Sales Managers
·  Track and manage change log each day for Event Sales Managers and send it to banquet and kitchen team to ensure any changes made to the Event order are updated by all the departments
·  Set up Rates and Favors for Sales managers for any sports or corporate groups arrival by sending hem a welcome card and amenity
·  Catering packages-printing the packages for Catering Sales Manager every month and stocking them in their folders for their sites
·  Create Purchase orders and drop off the P.O for accounting
·  Creates an inviting and friendly atmosphere through a combination of outstanding guest service and operational excellence

Experience:

·  High School Diploma required, certified post-secondary education in the hospitality field a definite asset
·  The ability to speak a second language is an asset
·  Min 3 to 5 years in a similar customer service environment and event services experience
·  Experience with Opera PMS an asset
·  Strong knowledge in MS Office and computer skills
·  Strong sales skills an asset
Requirements:

Comply with quality assurance expectations and standards. Read and visually verify information in a variety of formats. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
