Ensures smooth and efficient running of the F&B offices, carries out administrative and secretarial duties for the Food and Beverage Manager and ensures the smooth and efficient running of the business centre.
CANDIDATE PROFILE
EXPERIENCE
· Previous Admin experience in an F&B environment is essential.
· In depth knowledge of Open Table.
SKILLS AND KNOWLEDGE
· Strong practical knowledge of Microsoft Windows, including MS Publisher
· Excellent communication skills (verbal, listening, writing)
· Good telephone and email manners
· Flexible approach to work
· Good time management and organisational skills
· Capable of meeting strict deadlines
EDUCATION OR CERTIFICATION
· Preferred Certifications in administration.

· Operations: Assists in managing the daily operational admin duties of the Food and Beverage. Ensures compliance with Marriott Operating Standards to maintain brand integrity.

· Human Resources: Assists in maintaining the Marriott culture.
· Financial Management : Assists as needed in managing the Food and Beverage function operating budget and capital expenditure budget to achieve or exceed budget expectations.
TECHNICAL EXPERTISE (Learning and Applying Personal Expertise)
The following are specific responsibilities and contributions critical to the successful performance of the position:
OPERATIONS/PROPERTY MANAGEMENT
· Assists with the taking of reservations for all of our F&B outlets via telephone, email and or Open Table, excluding large group booking requests for our private dining rooms in the Saddle Room restaurant.
· Management of the Open Table platform, making any changes deemed necessary by the F&B Management team to either parameters, layout and online menu display/update.
· Confirmation of bookings for all F&B Outlets including The Terrace. Updates any traces, guest requests, dietary requirements. Strive to upsell non menu items such flower arrangements, amenities, room rental.
· Management of Open Table access requests and onboarding (training) with all relevant associates.
· Is responsible for all incoming and outgoing correspondence for Food and Beverage / Executive Chef at a high standard
· Arranges for all lost and found items to be delivered by courier to guets
· Is the first line of communication between the Food and Beverage Manager and the associates and guests.
· Files all correspondence to Food and Beverage Manager and Executive Chef on a regular basis, updates filing system and ensures files are kept in orderly manner, and ensures security of files to maintain confidentiality
· Follow up in the absence of outlet managers in complaint response, acknowledgement of positive letters received in our outlets.
· Operates and updates trace systems for Food and Beverage Manager and Executive Chef
· Attends Food and Beverage meetings on a weekly basis to take minutes, types food and beverage department minutes, uses records, photocopies GSS results and food and beverage controllable spreadsheet
· Ensures adequate supply of stationary are kept for the Food and Beverage Manager and orders additional supplies when needed, including business cards for Food and Beverage management
· Updates cross departmental management rotas and key metrics for coverage based on occupancy and group composition.
· In the absence of the Guest Services F&B Coordinator and Restaurant Hosts, will assist with typing, updating, proof reading and printing of all menus for our F&B outlets.
· Complies with all current Marriott standard and local operating policies and procedures
· Prepares bespoke menus, place cards, table plans and other printed materials for groups in the F&B Outlets.
· Creates and updates BEO’s for events taking place in the F&B outlets not managed by C&B team
GUEST SATISFACTION
· Sets a positive example for guest relations.
· Obtains feedback on product quality and service levels; effectively responds to and handles guest problems and complaints.
· First line of acknowledgement of guest feedback on GSS to comply with a maximum of 24hr response. Generates and actions guests requests in Empower for the outlets when on duty.
HUMAN RESOURCES
· Maintains superior relations with associates and responds to queries accurately and timely
· Maintaining TMS missed clocks for all outlets
FINANCIAL MANAGEMENT
· Assists in the financial management of food and beverage function, carry out bimonthly competitors’ analysis.
· Follow up on late arrivals and no-shows for reservations and activate no show fee on OpenTable when needed.
· Understands the impact of food and beverage operation on the overall hotel
· Raises Purchase Orders for all F&B outlets following quotes and instructions from HOD’s
Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests. Transmit information or documents using a computer, mail, or facsimile machine. Operate standard office equipment other than computers. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. Handle incoming and outgoing mail, including date stamping and distributing incoming mail. Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Enter and locate work-related information using computers and/or point of sale systems.
Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests’ service needs, assist individuals with disabilities, and thank guests with genuine appreciation. Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
