Job Summary
Position Summary:
Responsible for handling all administration and correspondence functions for the Complex Director of Engineering and Assistant Chief Engineer, as well as supporting the goals and objectives of the Engineering Department.
Must be computer literate and proficient in word processing and spreadsheet setup and input.
Core Responsibilities:
•Comply with all company and departmental standards and policies.
•Use of computers and computer systems i.e., Spreadsheets, Word Processing, Outlook
•Carry out day to day finance administration including, invoicing, accruals, and maintaining department checkbook.
•Create purchase orders, order supplies, and set up suppliers
•Prepare daily/weekly payroll, timesheet attendance, and roster
•Create and organise electronic and hard copy filing for department records: i.e. permits, service reports, insurance, and certificates, contracts, and personnel documentation
•Assist with departmental training and record keeping
•Operate computerised work order tracking systems GXP and Transcendent, i.e. data entry, generating reports, tracking work orders, and document the completion of service reports
•Assist with assigning and dispatching work orders using GXP and Transcendent.
•Dispatch Engineers on radio
•Coordinating and scheduling contracted services as required
•Create inventory and track engineering storage and attic stock.
•Track and monitor tool inventory for all Engineers
•Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.
•Maintain engineering office and stores in a clean, orderly, and organized condition
•Ability to communicate clearly and effectively with guests and employees
•Ability to interact with guests and other employees in a courteous, empathetic, and polite manner.
•Ability to read and write effectively
•Prepare correspondence, reports and office memoranda
•Pick up, sort and distribute mail
•Answer incoming phone lines
•Take minutes of meetings
•Review guest feedback surveys and respond to guest questions, concerns, and requests.
•Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
•Perform other reasonable duties as reasonably assigned
