Engineering Administrative Executive

Job description

POSITION SUMMARY

·  Maintain accurate records with filling of maintenance schedules and contracts, service reports, equipment warranties, and inventory logs.
·  Prepare purchase requests, track orders, and maintain records of supplies and parts used by the Engineering team. To follow up on invoicing upon completion of work orders by vendors or contractors
·  Coordinate internal and external work orders, ensuring timely response and closure through the Asset Management Platform (Transcendent) and also Guest Experience Platform (GXP)
·  Assist with scheduling of preventive maintenance and contractor services.
·  Prepare and compile reports related to energy consumption, water usage, and other sustainability KPIs. To carry out monthly submission to Marriott Enviromental Sustainability Hub (MESH)
·  Support documentation for safety inspections, audits, and regulatory compliance (e.g., fire safety, risk assessments).
·  Organize departmental meetings, training schedules, and maintain updated Standard Operating Procedures (SOPs) and Job Safety Analysis (JSA)
·  Manage administrative duties including filing, data entry, minute taking, and maintaining correspondence.
·  Liaise with other departments to coordinate engineering-related work with minimal disruption to guests.
·  Maintain confidentiality of sensitive engineering and hotel operational information.
·  Track and input the work schedule, overtime and leaves of the department.
·   Perform other administrative related tasks assigned by the DOE.

PREFERRED QUALIFICATIONS 

Education: High school diploma or G.E.D. equivalent.

Related Work Experience: At least 2 years of related work experience.

Supervisory Experience: No supervisory experience. 

License or Certification: None
