JOB SUMMARY

The role assists in the day-to-day operation of the Development and Feasibility departments and provides administrative support to both departments within the London office. The position is an entry level administrative role which provides cross-discipline support.

CANDIDATE PROFILE

Experience:
·  Previous experience in administrative duties preferable

Skills and Knowledge

·  Strong customer development and relationship management skills
·  Ability to design and implement successful tracking tools for documents and spreadsheets
·  Ability to manage and balance own time
·  Strong communication skills (verbal, listening, writing)
·  Strong organization skills
·  Ability to develop and maintain relationships e.g., associates, customers (both internal and external)

Education or Certification
·  Minimum GCSE level or equivalent
·  Good level of spoken and written English essential

SPECIFIC DUTIES
·  Each associate is expected to carry out, within their capabilities, all reasonable requests by management
·  Working closely with/in support of the current Development and Feasibility admin team in London and Zurich, this position will have day to day supervision from the current Development and Feasibility group admin assistant in London, who will allocate the group's administration requests between the positions as required
·  Maintain confidentiality of proprietary materials and information
·  Handle incoming and outgoing correspondence and distribute them as required
·  Create and maintain computer-based filing and organization systems for records, reports, documents etc.
·  Assist with the design and preparation of reports as required
·  Assist and prepare a variety of documents using MS Office, including the editing and preparing of internal committee approval documents, preparing presentations for proposals etc.
·  Produce and distribute team correspondence, presentations and other related documents as required
·  Compose, produce and sign correspondence on routine matters.
·  File and forward traces a variety of documents
·  Maintain office supplies for area
·  Process expense reports
·  Attend meetings and take meeting minutes as requested
·  Prepare a variety of documents using MS Office applications, as required
·  Maintain deal progress updates in OASIS and development pipelines
·  Deal with incoming requests by telephone
·  Maintain, collate and distribute all relevant department reports
·  Coordinate venue and agendas for meetings as required
·  Coordinate travel and accommodation arrangements for team
·  Maintain team diaries, schedules and appointments
OTHER
·  Perform other administrative and related tasks as assigned by management to meet business needs.
