Job description

Under the direct supervision of the Office Supervisor, the Receptionist must demonstrate exemplary customer service as the first point of contact for visitors, guests and vendors of Liebherr Canada. The role includes providing administrative support to various departments as required, while providing a high level of professionalism, quality work, tact, discretion and confidentiality.

The work schedule is Monday to Friday from 7:30 am to 4 pm

Responsibilities

· Receive, direct and relay all incoming calls with a sense of urgency and accuracy
· Greet all visitors/clients/vendors as per established procedures
· Ensure all visitors/clients/vendors sign the register and follow Liebherr safety protocol
· Manage all incoming/outgoing mail/packages as per established procedures coordinating with the Shipping department for larger items as required
· Process invoices, work orders and creates Purchase Orders in Operational systems as per established procedures, efficiently, escalating as required
· Maintain building, office supplies, and technicians uniforms inventory as well as cleaning service schedule
· Manage fleet of service trucks, including registration, licensing, truck supplies and any technicians driving infractions
· Collaborate with assigned administrators and receptionists of the team to ensure a timely and accurate completion of all assigned tasks
· Provide ad hoc administrative support as assigned

Competencies

· Minimum High School Diploma with Office Administration studies an asset
· 2 years previous work experience as a receptionist, administrative assistant, customer service oriented role
· Ability to communicate effectively, maintain calm and redirect using tact
· A demonstrated high degree of professionalism, interpersonal and collaboration skills
· Intermediate computer skills and an ability to learn new systems with ease
· Strong organizational skills to manage competing priorities
· Bilingual in French and English considered an asset
