Job description

We are currently seeking to hire a Secretary who will join our Financial Services Audit practice on a contract basis with an immediate start.

We are keen to hear from candidates who possess the following:

The ideal candidate will be proactive, have a solid administrative background, with at least 3-4 years' experience in a similar role. Excellent interpersonal and team-working skills are a prerequisite for the successful candidate along with the required skill set as outlined below:

·  Tech savvy and a strong working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
·  Excellent communication skills with a high-level of attention to detail
·  Strong time management & organisational skills with the ability to manage workflow.
·  Proactive approach to planning, managing potential problems and offer solutions.
·  A high degree of enthusiasm and adaptability.
·  The ability to handle confidential information and issues.
Key Responsibilities

Diary and workflow management

·  Proactively manage a busy schedule, arranging both internal and client meetings, using initiative to resolve conflicts
·  Facilitate logistical arrangements and ensure all documentation is prepared in advance of meetings
·  Prioritise workflow by considering the risk, importance, urgency, and potential business and/or client implications
·  Track the completion of tasks and monitor deadlines
·  Support and coordinate projects and special assignments.
Communication and Document Management:

·  Manage communications, filter emails, calls etc. taking appropriate action, escalating or delegating accordingly
·  Prepare and sense-check letters, memos, reports and presentations with a strong attention to detail and complying accordance the with brand and risk procedures
·  Maintain an organised document management process.
Financial Management (via SAP)

·  Record weekly timesheets
·  Prepare and record expense claims ensuring compliance with firm policy
·  Assist in the financial management of the Partner's client portfolio; producing reports, conducting billing & invoicing.
Travel and Event/Conference support

·  Supporting the Partners attendance at conferences and events
·  Working with the corporate travel agent to coordinate cost-effective and often complex domestic and/or international travel arrangements and itineraries
·  Preparing high quality presentations and materials.
Relationship management

·  Build relationships with both internal stakeholders and external clients to understand the business and client needs
·  Maintain client contact and relationships via the CRM system Other Administrative and Project Support

·  Manage industry sponsorships
·  Maintain an electronic library of industry publications
·  Support business development activities such as RFPs and proposals.
·  Develop a strong working knowledge of firm, department and risk management & quality policies.
