Job description
We are immediately looking foran Immigration Coordinator to join our Global Immigration Law group.The Immigration Coordinator is responsible for assisting employees of multinational companies in obtaining business visitor visas and work permits in a timely and efficient manner. This role requires excellent multi-tasking skills and an ability to communicate effectively with government offices, local legal specialists, HR representatives and employees.
The Immigration Coordinator is responsible for managing files for numerous countries and assisting with Business Visitor Visas for a variety of countries, as needed.
This job requires flexibility in terms of work hours (specifically the ability to work overtime and odd hours), and a willingness and aptitude for handling high volumes of work.
Role and Responsibilities
Immigration
· Research requirements for immigration documentation via internet, direct phone communication with visa offices, host country government authorities, and local specialists and prepare instruction document lists accordingly.
· Prepare and/or review all collected forms and documents for accuracy and consistency.
· Assist with obtaining legal documents (birth certificates, police clearances etc).
· Manage files for the cancellation of work permits.
· Prepare, organize and submit standardized, well-written, and error-free support/sponsor letters and all appropriate forms in a timely manner Attend consulate(s) to submit documents and pick up approved visas Manage and co-ordinate the legalization of documents.
· Handle a high volume of immigration-related matters.
· Develop an informative communication stream with immigration administrators/lawyers.
· Any duties assigned by the Immigration Administrator/lead lawyer.
Administration
· Ensure that all client correspondence, documents and relevant data fields are recorded in internal database.
· Collect invoices, annotate billing codes, and submit to Global Team billing upon receipt.
· Send files to billing once the immigration process is complete.
· Filing, faxing, photocopying and mailing/courier.
At times, business needs arise and employees are required and agree to work beyond their normal work day or work week to fulfill the accountabilities required for their job.
Skills & Qualifications
· 1-3 years of global immigration or global mobility experience is preferred
· 1-3 years office/administrative experience, ideally within a legal work environment
· Excellent English communication skills, both written and verbal is required
· College diploma or University degree an asset
· Customer service focused.
· Ability to travel to various consulates to submit and/or pick up documents
· Strong organizational and computer skills like Microsoft Word, Excel and Outlook
· Meticulous attention to detail and accuracy
· Ability to multi-task and meet aggressive deadlines
· Ability to locate and research information efficiently, to use it effectively, and to evaluate the quality of the information
· Highly motivated and ability to work with minimal supervision
· Strong time management skills
· Ability to demonstrate analytical and problem solving skills within a fast-paced environment
· Ability to communicate responsibly and promote effective working relationships
