Job description
Involve in 360 degrees of Executive Assistant & General Administration related tasks in the region, with a strong focus on, Administration, People Relations, in collaboration with local KERING HR. While delivering a high level of service in terms of HR activities, ensure that all our employees follow and respect internal HR procedures. MISSION
Handle administrative functions for the President & GM: scheduling meetings/appointments, arranging conference calls, making travel arrangements, reimbursing expenses, etc.
VISITOR ARRANGEMENT: AIRPORT GREETING/ CAR/ HOTEL/ RESTAURANT/ TRAIN/ GIFT/ BACK OFICE PREPARATION/
Write and monitor all the internal/external messages including emails to HQ team, official letters to department stores, business partners, etc.
Upon Receiving Offer Letter (Shared Office)
Store: Opening and Expansion Delivery Address Registration
G1 (POS) Registration: Entry & Transfer
Uniform: Fitting / Order / Cleaning
Coordinate event logistics and other details: Senior team workshop, employee events, etc.
Training: Air/ Train Ticket/ Hotel Arrangement/ Lunch arrangement
Deal with Employee Relation (Sick/ Maternity/ Marriage/ Resignation etc.) & DATA Record
Resignation: Distribute Form/ Communicate with Managers/ Collect and Confirm the Last working day and resignation date/ Exit Interview
Personal File Management: Copy from Shared Office (Resume/ Signed Offer Letter/ Personal Info Data)
Business Card Order (Entry/ Transfer) /Employee Card Order via HQ / BENEFIT ONE (Entry, Transfer, Resignation)
Staff Discount Monitoring
Health & Safety Committee/ Code of Ethic/ Conflict of Interest
Environmental Reporting
Write and monitor all the internal/external messages including emails to HQ team, official letters to department stores, business partners, etc.
Perform other special projects and tasks as needed.
PROFILE
· Key Requirements
· Exceptional verbal and written communication skills, including proofreading and editing – both in English and Japanese. Comfortable with public speaking is a must.
· Highly proficient in Windows, Microsoft PowerPoint/Word/Outlook/Excel.
· Bachelor’s Degree preferred and minimum of two years of working experience in a corporate environment.
· Outstanding interpersonal skills, including the ability to work with teams or independently to meet goals, and to develop strong rapport with the President and other relevant working relationships.
· Strong organizational skills, juggling multiple tasks, effective time management, conducting research, and identifying resources for various projects. Skilled at coordinating complex meetings and travel arrangements.
