We are currently seeking a HRSS Administrator as part of the HR Shared Services function on a fixed term internship for a period of 6 months. The HRSS Administrator will have a dual role and report to the HR Operations Manager, the Payroll Manager and the Benefits Specialist. This role is based in Victoria, London.
Your Opportunity
As a member of the Kering HR Shared Services team, this role supports the luxury brands within Kering UK, assisting with HR operational and payroll activities. This role requires working closely with all the brand head offices, HR and management teams to provide support across disciplines.
How you will contribute
· Support with ad-hoc local and global projects
· Produce ad-hoc reports and analyse the data when requested
· Ensure excellent accuracy, efficiency and service with the Brands
· Liaise with payroll to ensure all new hires are completed prior to payroll deadlines
· Draft and send contracts if requested adhering to the correct Brand and job type, ensuring alignment to Workday data accuracy
· Collate and send all relevant “Kering First Week” onboarding documents and track receipt of returned signed documentation
· Create electronic personnel files (e-files) and manage the ongoing storage and archiving of appropriate documentation
· Draft and send contractual change letters/documentation in line with legislative requirements
· Issue probation pass letters for all Brands
· Prepare and send leaver documentation
· Ensure all hires provide valid Right to Work documents prior to being issued contractual documentation
· Provide accurate employment reference letters
· Respond to queries via the ticketing system (Kering Connect) within the SLA’s
· Demonstrate exemplary service delivery at all times
· Support HRSS team with any audit information requests
· Assist with payroll input
· Support with general Benefits queries
Who you are
· Experience in HR administration across the employee life cycle
· Strong interpersonal, communication (written and verbal) and presentation skills
· Excellent customer service standards
· Experience of Workday highly desirable
· Organised and able to prioritise, with excellent accuracy and attention to detail
· Able to work well under pressure and towards tight deadlines
· Proactive and curious - ability to identify improvements in processes or activities
· CIPD qualified, or studying towards
