Job Description

We are currently seeking a Showroom and Events Coordinator who will report to the Showroom and Events Manager based out of the New York office.

Your opportunity

The Showroom and Events Coordinator is responsible for managing the New York Showroom and suport his/her manager in the organization and roll-out of all events throughout the year. Responsibilities include daily open and close of the showroom, maintaining reception of all guests, coordinating sample management in conjunction with the Sales Support team and other cross-functional teams (Sales and Marketing teams), managing external vendors as needed (i.e., cleaning service, mail service, deliveries/packages, building management etc.). The showroom coordinator should ensure that the showroom is operational and meets Kering standards at all times. The Showroom and Events Coordinator is also responsible for executing initiatives to support hosting customer meetings, sales events and other general meetings as directed.

How you will contribute

·  Daily open and close of the showroom
·  Reception – of all guests/visitors by managing reception desk
·  Answer all showroom-related communication including phone calls, emails, messages, etc.
·  Assist Sales Leaders with sales events, campaigns and customer meetings
·  Maintain New York samples in coordination with Sales Support:
·  Logging all loaned samples and facilitating the return
·  Sending samples out for advertisements
·  Sending samples out for events (Trunk shows/sales events)
·  Sample management for market weeks (5 times a year)
·  Packing samples for accounts (meetings and events)
·  Communicating with sample team
·  Inventory
·  Cleaning all samples
·  Maintain showroom standards at all times
·  Supply management of both showroom and office floors (own and maintain weekly supply orders)
·  Vendor management and negotiation (catering, floral, cleaning service, building management)
·  Scheduling for all sales campaigns (VEW, VEE, Market, etc)
·  Support the direct manager in planning and executing all corporate and sales events
·  Assist the direct manager with negotiations with vendors and suppliers (e.g.: caterers, space contractors, florists, etc..).
·  Conduct scouting, site visits and researches to help make decisions about events.
·  Coordinate all the departments involved in the organization of the event.
·  Serve as liaison with vendors on event-related matters (i.e. arrange the availability of audio-visual equipment, transportation, displays, and other event needs)
·  Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
·  Review and produce a follow-up reports on occurred events, including financial details, to be shared with the direct manager and other stakeholders
·  Representative of the Kering brand at all times demonstrating professionalism. Be hands on and willing to assist in other areas of the business

Who you are

·  Bachelor's Degree
·  1-2 yrs of experience in Showroom, or office management experience. Experience in managing detailed events & programs budgets
·  Experience in luxury industry is a plus
·  Proficiency in English
·  Good working knowledge of MS Office and Outlook (Excel, Power Point, Word; Email)
·  Highly organized with deep attention to details and accuracy
·  Ability to work effectively under pressure
·  Customer oriented
·  Extremely organized and Multitasking
·  Able to work autonomously; self-starter with the ability to organize and manage own workload
·  Resourceful, focused on problem-solving and achieving results
·  Passionate and enthusiastic with a spirit of curiosity and innovation
·  Team player, with an ability and willingness to support in other areas of the business as needed
