Regional Legal Operations Professional
Position Summary:
As a legal operations professional, you will provide the Johnson & Johnson Law Department with a wide range of support that includes working with in-house teams, outside counsel, and third party providers.
Scope:
Latin America, including South America, Central America, Caribbean and Mexico, for all the three sectors.
Job Responsibilities:
• Liaise with Leadership team and Regional Legal Operations team members, being responsible for Project GOLDEx´ development, implementation, deployment, and delivery.
• Assure project governance, execute day-to-day tasks, update timelines and action plan in accordance with project development, providing guidance to the team
• Periodically report project progress and results to direct leader and results to the committee
• Identify and support possible barriers, elevating possible risks to the leadership team when needed, assuring adequate level of information and decision making process about critical issues
• Constant train involved people, assuring activities completion, always looking for new improvement opportunities
• Maintain a list of outside counsels and third party providers used within the LATAM region that includes: agreements, timekeepers, approved billing rates, and discounts received
• Design and implement a periodic (at least in an annual basis) timekeeper rate review process
• Centralize and maintain a repository of work product including legal opinions and memoranda drafted by regional outside counsel
• Maintain regional Outside Counsel Guidelines up to date (e.g. revisions/amendments/FAQs)
• Monthly track Law Department financial expenditures related to outside counsel and third party providers
• Implement applicable systems and keep it up to date in what relates to legal fees and other fees related to third parties and its respective reports
• Create monthly, quarterly and annual reports on Law Department expenditures by coordinating and validating spend data with responsible attorneys and Procurement, when applicable
• Manage reports, including progresses and corrective actions
• Assists with cost and performance management for supplier and outside counsel network
• Create toolkits, dashboards, legal training, and process flows for various projects including: budget and invoice workflows, law firm evaluation, and training on an Outside Counsel portal
• Act as the administrative liaison between for GOLDEx project members and regional attorneys
• Organize monthly team and Regional Committee meetings including: preparing agendas, minutes, and presentation materials for distribution
• Manage relationships with outside counsel alongside the responsible in-house attorney
• Assist with the rollout of Matter Management and eBilling systems including basic training, support, and coordination where needed
• Conduct analysis to recommend actions and initiatives to reduce expenditures and optimize resources

Qualifications :
Desired Skills and Experience:
• Fluent in Portuguese and English languages. Spanish desired
• Bachelor of Accounting, Economy, Administration or Engineering
• Excellent skills in facilitation and project management , with great capacity of organization, planning and implementation, with a holistic view assuring constant alignment with department and company strategies
• Excellent interpersonal and communication skills including establishing and maintaining relationships with law department team, outside counsel vendors, and peers
• Analytical capacity and demonstrated ability to manage multiple and critical responsibilities simultaneously, being able to prioritize activities and optimize financial and human resources
• Capacity of making things happen, acting as an agent of change, challenging whenever needed
• Capacity of dealing with different levels and areas within the organization
• Pro-activity in identifying issues and proposing solutions, always mitigating risks
• Mature, responsible and independent, with experience working within a large corporate legal department or law firm with 3-5 years of business experience demonstrating increasing responsibilities and accomplishments
• Experience reviewing and analyzing budgets, creating spreadsheets and reporting on financial data
• Experience implementing and managing Legal systems, including matter management, e-billing, document management, and knowledge management tools is preferred
• Unquestioned discretion handling confidential information
• Must be self-motivated, responsive and enthusiastic, with ability to work independently and as a team member
• Able to adapt to suit the needs of a legal/professional services environment, including with legal teams relatively new to legal operations
• Advanced level skill in Microsoft Office suite (Excel, PowerPoint, Word, SharePoint, etc.)
