Procurement Shared Services Manager
- Sourcing Operations-1500064814WDescriptionPosition summarySourcing Operations lead is responsible for regional tactical buying and buying for delegated categories of spend. The person is responsible for results on savings, compliance, turnaround times, payment channel compliance, supplier optimization and improvement of digital content of suppliers with recurring spend. He/ She is responsible for defining and executing the sourcing strategy for the delegated spend, including defining approach to market, managing sourcing event, documentation and supplier outreach, evaluating results up to final award. Maintain supplier relationships by resolving key disputes, negotiating final pricing and commercial terms, and performing key stakeholder activities. Interface with suppliers and the organization on contract creation, review and approval, finalization, and further contract amendments to price and scope. Engage cross-functional stakeholders to address concerns, provide process updates, and conduct change management activities.
As we build the global services center in Manila, the candidate will be the Asia Pacific representative in the global process design teams on Sourcing Operations / Service Delivery.
Specifically, primary responsibilities of the role include (list is not exhaustive):
- Participate actively in global process and solutions design work on Sourcing, understanding the end-to-end process and the connectivities and dependencies within procurement and across other functions and how to bring the process to life in the global services center in Manila
- Represent the APAC region in meetings held by global process owners to help lead and shape the design and plan for the S2S deployment
- Conduct Voice of the Customer so that needs of the APAC Procurement community and business stakeholders are documented and considered in the global process / solutions design and development
- Lead pilot projects on service delivery, if needed, in line with the end state modelThe candidate should:
- Keep an open mindset and be keen to lead and shape a model that will continuously evolve to ultimately become a sustainable regional and/or global service delivery
- Scope, Plan, manage and deliver assigned assignments (e.g. pilots)
- Maintain relationships with key stakeholders (Regional Procurement, Global Shared Services, Enterprise Procurement Operations, IT, Finance)
- Keep customers central in service delivery: understand needs and develop solutions how Shared Services team can address these with current or future resources. Bring cases forward to regional/global leadership on required team capacity to fulfil requirements or if opportunities to increase scope of work arise. Also seek leveraging opportunities with other Shared Services teams (cross-functionally)
- Understand global direction and strike the right balance between harmonization / standardization vs. local specifics (e.g. customizations required for legal/regulatory purposes)
- Manage resources and resolve conflict over resource allocation and other critical issues
- Map out and once delivery takes place, meet minimum service levels and strive for continuous improvement of service delivery
- Understand industry best practices and technology trends and apply in delivery to enhance service/value
- Drive Credo behavior and collaboration across entire J&J Enterprise (Cross-sector and cross-region) and with external partnersFunctional responsibilities include:
- Develop, deploy and where applicable continuously improve Operating procedures and ensure compliance in all process steps
- Identify processes or steps that can be standardized or leaned out to improve efficiencies
- Establish KPIs and metrics and track performance scorecard of Shared Services team
- Oversee and proactively identify areas within Procurement that are opportunities to outsource standard work as well as manage the relationships with the outsourced suppliersQualificationsEducational requirements and other skills required
- Proven track record in leading and shaping Shared Services delivery teams, ideally in a Procurement (or Procure-to-Pay) Shared Services environment (startup or operational) and displaying people management skills as well as functional expertiseFunctional expertise:
- Affinity with Procure-to-Pay processes and Procurement Operations
- Experience with and expertise in Contracting excellence and Sourcing, including eSourcing tools and processes
- Preferred expert level knowledge of Procurement systems and P2P processes (e.g. ARIBA Buyer, ARIBA Spend Management, eSourcing tools, VIEWS/Cognos or other data warehouse & reporting tools, SAP/Lynx & other ERP systems)Focus on customer and continuous improvement:
- Good problem solving, analysis and troubleshooting skills. Identifies areas for process improvements and leads/participates in implementation
- Strong customer service skills and ability to anticipate customer needs
