Soft Landings Coordinator - 22 Bishopsgate, London

Background and Objective

The Soft Landings Coordinator is responsible for coordinating and effectively influencing the processes and activities in relation to the requirements of the property transition around practical Completion and ongoing Occupier Fit Out Projects.

The role supports the overall objective for 22 Bishopsgate Leadership team by meeting the specific requirements of the Soft Landings Manager and the overall satisfaction of the stakeholders.

Operational/ Technical 

·  Challenge installations that prevent ease of planned preventative or reactive maintenance of Landlord plant and equipment.
·  Support the occupier license to alter request process to ensure there is nil conflict with the base-build or existing systems, that occupiers provide the full details in support of the LTA application.
·  Track the documentation delivery from Occupiers in support of the (LTA) process and close-out checklist. 
·  Contract manage the incumbent logistics partner in support of the Fit-Out Programme.
·  Manage a non-technical Access Permit System in support of the Fit-Out Programme and Principle contractor defect resolution.
·  Coordinate schedules identify risks and clearly communicate relevant information to stakeholders.
·  Chair weekly progress meetings with the on-site Occupier fit-out contractors.
·  Track the progress and quality of installations & commissioning activities being performed by varies disciplines/trades.
·  Manage a robust change process in accordance with the License to Alter (LTA) process.

Engagement & Communication

·  Recognise the importance of stakeholders and how providing market leading customer service is at the very core of 22 Bishopsgate’s service delivery.
·  Provide support from the soft landings and operational perspective on the ‘readiness’ of the development for PC.
·  Actively seek to exceed Occupier expectations and client satisfaction.
·  Attend and record preliminary and relevant ‘stage’ meetings during the development phase or fit out project
·  Report on, in person or by written report, at all stages of the Soft Landings progress.
·  Facilitate and document structured Review Learn & Improve (RLI) sessions and to contribute with ideas for improving processes with a positive and constructive attitude
·  Consider the costs aligned with on-boarding of new occupiers when reviewing activities or next step tasks
·  When required keep precise records that document any client-agreed amendments affecting ‘risks’ to the landlord
·  Contribute to the timely compilation of building reports as directed by the Soft Landings Manager
·  Actively seek, recommend and when required implement continual improvements to the department’s support service
·  Within day to day activity or upon request review and implement trackers and reports to support operational efficiency and/or specific tasks
·  Provide all general administrative duties such as meeting room booking, diary management, note taking in meetings, hosting and greeting visitors
·  Carry out all other general operational tasks as directed by your Direct Manager within set timeframes
·  Follow the document control processes and shared electronic filing system framework
·  Lead by example to represent the brand values and deliver set objectives for your department
