Hours/Shift: Monday to Friday, 8:30am to 5:00pm
Summary:
Primary Function: Issuance of Gartner credentials to new workers pursuant to the on-boarding process, investigating and correcting credential issues, where applicable, and issuing replacement or temporary badges when required. The role will be based in Gartner’s office in Ft. Myers, Florida or Gurgaon, India.
Additional Function:
Provide general overall FM services including continuous monitoring of facility. Work with property managers to handle routine property management operations, including: Procurement of property supplies and services, including issuing purchase orders, managing bid requests and service/construction contracts, processing of accounts payable and accounts receivables;
Key Responsibilities:
· Issue Gartner credentials to new workers pursuant to the on-boarding process, investigate and correct credential issues, where applicable, and issue replacement or temporary badges when required
· Remain proficient on Gartner’s access control software, as he/she will be constantly interacting with this system
· Process all badge requests and keep applicants informed of all statuses
· Control access to restricted areas and produce access reports
· Troubleshoot badges that are not working properly and replace any lost, stolen, defective, or broken badges
· Via mail service, deliver badges to Gartner offices around the world in a timely manner
· Prepare and maintain records of badging activity and metrics.
· On a limited basis, take photos of new employees.
· On a limited basis, serve as the on-the-ground security subject matter expert (SME) at local Gartner office
Additional Responsibilities:
· Provides support for guests, visitors and employees at client locations
· Coordinates special events in support of client or Jones Lang LaSalle
· Provides support for meetings and conference room reservations, as needed and directed
· Assists with the coordination and scheduling of maintenance activities
· Assists management and staff with operational reporting, budgeting, financial systems, purchasing as necessary.
· Provides facility specific assistance to the project management team as needed or requested
· Acts as an interface with client, visitors and guests. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.
· Ensures delivery of committed services and overall satisfaction with Jones Lang LaSalle performance.
· Demonstrate leadership, responsiveness and creativity in finding solutions for service delivery.
· Reads and understands the applicable Service Level Agreements, helps achieve the Key Performance Indicators and scores favorably on the client satisfaction surveys.
· Ensures appropriate follow up with customers
· Seeks to continuously improve processes, systems and overall client satisfaction
Key Qualifications:
· Exceptional administrative skills, strong Word and Excel skills, and efficient time management.
· Associates Degree, Bachelor’s preferred
· At least two years of experience in the security field, facility or property administration including one year in badging or as a security receptionist or lobby officer
· Excellent computer skills, especially with badging hardware and software (e.g., Lenel OnGuard)
· Demonstrated ability to operate various badging applications and access control systems software
· Familiarity with the operational aspects and risk implications of a global access control program
· Collaborative, team player who has a proven ability to identify and define objectives while managing time and resources
· Highly effective verbal and written communication skills
· Ability to maintain professionalism at all times under stressful situations
· Ability to plan and manage work under time constraints
· Ability to multitask and work without direct supervision
