Job description



Coordinate and supervise clerical/administrative support function for move management team. May perform basic move management duties.

Roles and Responsibilities

·  Successfully manage moves, furniture requests (including re-configurations and ergo), event set-ups and conference room set-ups on campus
·  Ensure client satisfaction throughout the move management process and furniture requests
·  Ensure all move management and furniture activities are performed in a manner consistent with documented processes
·  Adherence to move management and furniture schedule and budget
·  Assist FM team, MAC Manager, MAC Lead, and Occupancy Planners on larger projects, as required
·  Provide a single point of contact for all campus moves
·  Receive and process client move requests and update quarterly campus move forecasts
·  Participates in planning meetings hosted by the client, Move Manager, Occupancy Planning, FM, and other key stakeholders
·  Assist with the move project plan and budget through collaboration with the move manager, facility manager, project manager, occupancy planner, and construction manager, as required
·  Ensure all project documentation is maintained in 360Facility or SharePoint, as required
·  Initiate meetings to review move schedules and furniture requests with vendors and key stakeholders
·  Ensure move processes are managed in accordance with the client’s and Jones Lang LaSalle’s policies and procedures
·  Procure and manage move labor and furniture inventory
·  Manage supporting suppliers (technology, telephony, furniture, etc.)
·  Track move and furniture costs and process invoices within
·  Perform data input into the CAFM system to maintain occupancy information and submit floor plan updates to CAD/CAFM team
·  Incorporation of “best practices” into move and furniture projects
·  Responsible for follow up of all unresolved move and project issues. Including post move support lead
·  Ensure quality of project deliverable's
·  Incorporate “best practices” into projects, moves and event set-ups
·  Coordinate work orders and small project execution with installers/trades, including furniture re-configurations, space enhancements, moves and event set-ups
·  Speak in clear and concise manner when responding to client questions and follow-up with precise resolutions when reached by team lead

Facilitate communication between the following stakeholders:

·  Client, space contacts, and office coordinators
·  Vendors and supporting suppliers
·  FM Project Manager
·  Regional Facility Manager
·  Occupancy Planners
·  Move Management Team Lead & Manager

Skills/Qualifications

·  Bachelor’s degree preferred
·  Three to five years of move experience required
·  Three to five years of facility, project, or construction-related experience in a Corporate Real Estate environment
·  Background in finance, project management, construction management, architecture, or occupancy planning is desirable
·  Excellent strategic, analytical, communication, and presentation skills are essential
·  Ability to self-motivate, multi-task and manage numerous projects simultaneously
·  Attention to detail and ability to develop and implement detailed processes
·  Strong organizational skills, with the ability to prioritize tasks
·  Demonstrate a solutions-oriented approach with the skill to proactively communicate recommendations to the client
·  Strong understanding of MS Excel with focus on data skills such as pivot tables, filters and graphical displays
·  Excel; CAFM; PowerPoint
·  Team consist of MAC/OP team based in Sunnyvale (3 Occupancy Planners, 2 MAC Coordinators)
·  Team oriented while being flexible to handle impromptu deliverable's
·  Collaborate with Project Management, Facility Management, and Transactions Teams
·  High level of engagement with the Client Real Estate team
·  Proficient in CAFM or Occupancy Tool and Facilities Work Order Systems
·  Strong Microsoft Excel, Word, PowerPoint, and Outlook skills
·  Proficient in Microsoft SharePoint Site
·  High aptitude for learning new technologies
