Jones Lang LaSalle Project and Development Services is currently seeking an Operations Coordinator to support our Operations and Leadership team in our growing Florida Market.
Position Overview:
Support the Operations and Leadership team. The Operations Coordinator is responsible for assisting in prioritizing projects to meet deadlines in a fast-paced, team-oriented environment.
Responsibilities Include:
General administrative responsibilities:
· Assist in coordinating logistics of travel arrangements for events scheduled throughout the year for the FL PDS business unit.
· Provide support to team in technology applications, i.e. Clarizen, Client First, Outlook, Word, Excel, Power Point and other company supported programs
· Create and maintain filing system and efficient information retrieval system in Box or FL PDS designated drive.
· Perform clerical duties to include photocopying, mailing, faxing documents, scheduling appointments and coordinating calendars
· Assist in the timely production and accuracy of word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
Marketing / deal related responsibilities:
· Partner with the Operations Manager, Leadership and Florida PDS team to help achieve team’s production and operational goals
· Constantly update of Client First (CRM software): contact information, company information, opportunities, client contact list, etc.
· Create Pursuits and Projects files as new deals are created and engaged.
· Compile data of Pursuits status in order to be able to update CRM system and generate reporting associated to current pursuits.
· Assist and coordinate with Marketing Team in order to ensure that all marketing material is current and relevant.
· Assist Operations Manager with research in order to gather data of potential new business for the unit.
· Keep track of News related to region and business
· Assist in generating announcements of projects closing or engaged
· Assist and participate as needed for industry functions, client events or staff meetings
· Assist Operations Manager, Leadership and PMs in preparing proposals and other relevant reports/documents as needed
Additional Responsibilities:
· Coordinate information flow of deals and maintain regular contact with the Marketing Team for PR and branding purposes (Press Releases, Ecards, etc.)
· Assist in ensuring that all marketing materials present the Jones Lang LaSalle brand consistently and follow corporate brand standards
· Assist with client communications, conferences and events
· Participate in best practices conference calls
· Assist in ensuring and influencing proper organization and time management for the Operations arm of the unit.
Requirements
· Bachelor’s Degree or commensurate experience preferred
· Real estate background is preferred
· Assist in Planning and Organizing – can support the establishing a course of action to accomplish goals and is able to assist in evaluating results and developing schedules and can efficiently track task/people assignments, can orchestrate multiple activities at once to accomplish goals, uses resources effectively and efficiently.
· Proactive – does not wait for tasks to be asked, but always prompts to identify what else can be done.
· Can be proper support to enable other team members to focus on revenue generating tasks by efficiently assisting in handling the operations of a team.
· Dealing with Ambiguity – can effectively cope with change, can shift gears comfortably, can decide and act without having the total picture
· Interpersonal Savvy – relates well to all kinds of people, inside and outside the organization uses diplomacy and tact.

· Basic knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator, Flash) a plus but not required
· Workplace experience, minimum of 2-5 years in a similar or related roll required
· Real estate experience a plus
· Fluent written and spoken Spanish a plus but not required
