Job description

Data cleansing, data remediation, data migration and data reconciliation activities to import the quality of the data and ensure the successful transition to a new system

Creation and maintenance of user accounts is the key activity for this role. User accounts have a number of relationships which must be set up and maintained:

Each account requires a licence which is dependent on the user’s role. Each user has a role or roles which define the modules that the user is able access. Each user has a list of one or more contract groups which defines the buildings to which they have access. Each user has a Contact record with a contact class which defines which notifications, if any, are sent to the user when certain events occur in the database. A Tenant user contact must have buildings and specific locations assigned to their profile to enable the tenant to associate tasks with the correct location aligned with their tenancy responsibilities.

A Tenant contact must be allocated a Department ID to ensure their view is restricted, so they do not have view of other tasks belonging to other tenants within the building. Some users have associated resources and these resources are assigned to perform task. E.g. a plumber is assigned to attend and fix a water leak.

All of the above relationships define the user account and from time to time, these relationships need to be adjusted to reflect the user’s current responsibilities. E.g. a user is promoted and has responsibility for more buildings, these buildings must be added to their profile.

In addition to setting up and maintaining these relationships, users from time to time forget their passwords and their accounts are locked after several unsuccessful attempts to log in.

They are able to unlock their accounts themselves but many users request the support team to unlock their account.

Manage Engine

Manage Engine is our request logging system for Evolution Support requests.

This role is responsible for monitoring Manage Engine and reacting to requests logged there.

In addition to user requests for support, there are some system generated requests logged in Manage Engine.

Some regular tasks from Manage Engine require basic SQL skills as they require some queries to be run in MRI. The SQL for these queries is provided in the request but they must be copied and pasted into the MRI Query Utility, the results of these queries exported to Excel and some comparisons made between the exported data and the data already in Evolution, then, the data in Evolution needs to be edited to match the MRI Data.

Building Management

Processes differ slightly from country to country but the data structures in Evolution are the same.

When JLL wins management of a building, a new building is created in Evolution and each building has a set of relationships which must be maintained.

Workflows in the system create some of these relationships automatically whenever a new building is created, but some relationships need to be created manually and all relationships must be verified and correct.

Each building has a corresponding Contract and Contract Group and relevant Users, Contacts and/or Resources must be associated with the building and/or its contract or contract group.

Creating these relationships is simply a matter of selection the correct entity (user, contact or resource as the case may be) from a list and clicking a button to add them to the list of related entities. This process, for creating relationships, is almost universal in the system, only the list of entities changes depending on the relationship required. E.g. Resources to buildings or contract to contract group etc.

Removing relationships between entities is the same process in reverse.

Preparation of upload files

The preparation of upload files is an important function performed by the Evolution support team but it requires the use of external tools rather than direct interaction with Evolution.

This is not a primary function of this role but as they develop, these tasks will be introduced.

A high level of skill using MS Excel is required and proficiency using lookup tables and pivot tables is essential so that comparisons can be made between the upload data and the data already existing in the system. Training for these processes will be done as needed and as their skills improve.
