POSITION OVERVIEW
The Facilities Coordinator supports FM leadership in the day to day running of our client’s properties. The successful candidate must be able to organize and prioritize multiple tasks, effectively manage through stressful situations, and develop and effectively manage customer relationships. Responsibilities include liaising with contractors, coordinating maintenance and operations, supporting the effective delivery of contracted services, accounting and finance, equipment and supplies, and administration.
RESPONSIBILITIES
· Provide general overall facility management services including continuous monitoring of office/facility
· Manage administrative activities and other duties as assigned by the Facilities Manager, in reference to client support
· Act as an interface with client, visitors and guests
· Attend client and contractor meetings as required
· Coordinate and manager preparation and control of work orders and coordinating work with trades; ensure accurate billing of work
· Maintain, track and report on work order status in Corrigo maintenance reporting software system;
· Assist with the coordination and scheduling of maintenance activities
· Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption, as needed.
· Assist with receiving and dispatching of work requests to maintenance staff, vendors or other services providers
· Assist Regional Facility Management Team with tactical planning for the regional facilities team’s goals and objectives
· Provide facility specific assistance to the maintenance team as needed or requested.
· Manage & maintain small facility management tasks as assigned.
· Ensure appropriate follow up with customers
· Seek to continuously improve processes, systems and overall client satisfaction.
· Assist with budgetary requests, analysis and reporting
· Assist with researching, analyzing and reporting budget variances
· Work with team members to identify and respond to any financial or budgeting related issues
· Help support facility specific cost savings targets to contribute to the account achieving significant savings
· Assist management and staff with operational reporting, budgeting, financial systems, purchasing as necessary
· Support requests associated with Jones Lang LaSalle Management, Operations and Financial audits
· Resolve problems associated with all building services including but not limited to: janitorial, mechanical/HVAC, electrical, security, snow clearing, landscaping, as well as interior and exterior general maintenance, fixtures and equipment.
QUALIFICATIONS
· Prior experience in facilities, property management, or related field preferred.
· Knowledgeable of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous.
· Understanding of basic technical aspects of property (air-conditioning, chiller system, fire protection system, mechanical & electrical system) is advantageous.
· Proficiency in MS Office, and possess strong written, verbal and people skills.
· Excellent communication, organization and problem-solving skills.
· Ability to work independently with little supervision and effectively deal with stressful situations.
· Self-motivated; confident, energetic and flexible.
