Job description
The Corporate Concierge’s main duty is to provide exemplary customer service to tenants and building management at the client site by serving as an informational resource for the property – arranging events, meetings, services, gifts, reservations, etc. The Corporate Concierge is also responsible for accurate reports detailing client requests and billing of services to client.
MAJOR RESPONSIBILITIES
· Manage budgets of up to $150,000/year to create unique building experiences
· Negotiate vendor contracts for events, pop-ups, services, etc. to secure contract details, pricing, and scheduling
· Creates marketing collateral for building experiences
· Curates building experiences including events for up to 8,000 attendees, including managing event execution
· Managing building amenities including conference space, tenant lounge, outdoor space, fitness facilities, etc.
· Manages the reservation of the building’s conference center and coordinates arrangement and
· set-up for the conference room, including catering orders
· Create and propose Marketing budgets up to $120,000
· Create content for conference space websites
· Responds to in-person, phone and email requests from tenants in a timely manner and assists in providing guidance and information to tenants
· Plans and schedules property activations and event schedule on a quarterly basis according to property management’s vision and budget
· Special event and activation planning for meetings or events occurring at the Property
· Communicates building details to CCS Account Manager in a timely manner
· Provides information and directions to festivals, events, attractions, restaurants, hotels, tours and transportation schedules in the surrounding area
· Secures and coordinates tickets to concerts, sporting events, theater productions and other events
· Sells discount or special offer tickets to museums, theme parks, movie theaters and other venues
· Coordinates the ordering and delivering of balloon and floral arrangements, in addition to corporate and gift baskets, as requested by tenants and building management
· Secures reservations for tenants for various services/events, including restaurants, limousine and car service
· Provides a detailed report of calls made to the concierge service for the prior month, detailing the type of services provided/coordinated through the concierge and the company that made the service request
· Provides detailed reporting of the calls, emails, and requests that have come in and the type of services that has been provided and coordinated to the client
· Writes, edits and sends a monthly email newsletter to tenants who have opted in to the service regarding events occurring in the building and around the area; actively seeks to grow the email list by soliciting subscribers through marketing initiatives
· Creates internal Marketing collateral for Concierge activations and events using design programs such as Canva or Mail Chimp
· Provides timely and accurate To Be Invoiced (TBI) reports to the CCS Finance department to ensure accurate billing of services to clients
· Stays current on knowledge of local events and cultural attractions. Researches information on these events.
· Other concierge-related requests, as needed
· Meets deadlines given by CCS Management and the Client

EDUCATION/EXPERIENCE
· Bachelor’s Degree or equivalent work experience
· At least three years’ experience in hospitality, marketing, sales or VIP customer service
· Previous concierge experience highly-preferred
