Job description
Job Summary
Assist the Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client’s corporate real estate goals and objectives.
Responsibilities
· Prepare/review financial forecast, budgets, historical expense analysis to support management in financial decision making
· Track actual costs and compare against forecasted spends, find explanation for variances
· Use analyzed data to map behavior and improve site performance
· Develop Corrigo data summary reports and recommendations for improving site operations
Operational Support
· Support and help enforce compliance with JLL/Intel policies and procedures
· Identify improvement areas for existing processes and assist with creation of new processes that will reduce site costs and increase productivity
· Work with Training Manager to develop robust training guides/courses on standard business operations for new hire training and as general reference
Project Management Support
· Ensure site is in compliance with Intel/JLL on demand process and forms
· Work with central team to resolve any on demand project issues
· Resolve project final billing with finance team before submitting to customer
· Provide On Demand business processes training as needed to staff
· Assist customer with project final billing questions/project close out, as required
Corrigo
· Validate correct funding amounts in the Corrigo Work Orders and ensure that quote approvals are completed in a timely manner
· Review/audit invoices to ensure accuracy and completeness prior to submitting for final management approval and pay out
· Ensure vendor invoicing is submitted in a timely manner, work with vendors to resolve invoice issues or expedite invoice submittal
· Support and participate in cross site information sharing and alignment on Corrigo procedures and best known methods to ensure information and learnings are passed down to the site
Requirements / Qualifications
· High School diploma required, Associate Degree or equivalent training / experience preferred.
· Minimum of two years of industry experience required either in the corporate environment, third party service provider or as a consultant
· Excellent customer, computer, managerial, verbal and written communication skills
· Ability to multi-task and effectively organize responsibilities to achieve portfolio goals and objectives
· Basic knowledge of building systems (mechanical and electrical systems)
· Demonstrated proficiency in MS Office -Excel, Word, PowerPoint, SharePoint, Outlook, Adobe
· Experience in computer or web-based Work Order Management Systems (CMMS) preferred
