Corporate - Corporate Meetings and Events – Event Assistant (Analyst) - London
We are currently seeking an enthusiastic and dynamic Event Assistant to join our exciting and rewarding Corporate Meetings and Events team.
Job Description:
· Based within the Corporate Event Marketing and Management department, as part of a team of professionals developing and executing events, cross-business and cross-location, within EMEA
· This role involves working closely with the event managers to provide full assistance on all conferences and events
· Primarily this assistance relates to working on the event-specific databases, managing event collateral, delegate management and supporting the event planners to deliver events as required
· There is also some stand alone event delivery included as part of the role
Key Responsibilities:
· Input and maintain client and event details into the team databases (metron and eventcenter)
· Producing status reports from the online registration systems
· Sending confirmation letters and emails to delegates and manage delegate attendance
· Venue searching/booking hotels and private dining spaces
· Collation and shipping of event materials to the appropriate venues across EMEA
· Prepare and print agendas, name badges and place cards for events
· Onsite event assistance as required
· Maintain inventory of stock for the department and order branded conference materials
· Organising and managing small events as directed from inception to completion
· Manage internal processes as directed
· Execute quality output under tight deadlines and work extra hours as needed
Skills, Knowledge & Experience
· Some experience in corporate event management, ideally in a global financial services environment
· Superior oral and written communication and analytical skills
· Ability to manage an event database confidently (training will be given)
· High level of creativity, ability to think “outside the box” and to multi-task
· Accuracy and attention to detail is imperative in this role
· Highly motivated, flexible, enthusiastic, innovative and creative with required determination to achieve results through initiative and common sense
· A successful team player with proven capability of reaching proposed targets and supporting team members with their events as necessary
· Comfortable working in a matrix management organisation structure.
