CIB - EMEA Sales - Executive Assistant

Job Summary:

This is a multifaceted client facing role, providing executive support to one MD and Team. You will perform diverse secretarial duties requiring confidentiality, a strong work ethic and common sense approach.  This is a varied, responsible and busy position so the successful candidate must have excellent prioritization, organisation and communication skills and be keen to learn and take an active role within the wider admin group.

Core Responsibilities:

 

•          Extensive use of Outlook, enabling the seamless coordination of internal and external meetings, travel and other appointments

•          Meeting, conference calls, telepresence set up - internally and externally

•          Finalizing complex travel arrangements: co-ordination of flights, tickets, VISAs, accommodation and ground transportation.  Preparing and managing complex travel itineraries

•          Management of expense processing through Concur, reimbursement, personal amounts owing etc.

•          System functionality expert - utilise internal systems, complete accurate data entry (Concur, eSource, CWT)

•          Potential for involvement in Client event planning

•          Become integral part of business, understand group priorities and expectations

•          Gate keeping both in person and over the phone

•          General administration duties (Room bookings, filing, photocopying, faxing)

•          Partnership with Assistants across the CIB group to provide coverage for absence.

 

Knowledge, skills and experience required:

•          Exhibits a positive, constructive attitude and a calm and composed manner. Ability to work in pressured environment and partner effectively with peers. Exhibits high levels of punctuality and reliability

•          Full competency in diary management, can apply good judgment and has an understanding of competing priorities

•          Strong, executive communication style can you tact and good judgement in confidential situations

•          Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimise travellers time

•          Strong technical capabilities

•          Awareness of expense arena, expense systems and cost control initiatives e.g. can champion expense policy, process expenses in a timely manner

•          Has a strong degree of flexibility, is willing and open to change

•          Can follow up without prompting and keep 1 step ahead of arrangement and requirements, displays good use of initiative and follow through to completion

•          Has a high level of attention to detail and delivers high quality results

•          Is a team player who can build networks and work in partnership

•          Is driven and can manage expectations through communicating proactively and often across different hierarchies

•          Has potential to act as a role model to their peers e.g. lead by example

•          Responds well to new challenges.
