Who you are
We are searching a Project Administrator in full-time (87 h/month) for our Expansion Team.
With the customer at the heart of everything we do, the Market Expansion team takes responsibility for implementing the strategic expansion plan for our market. We act upon business needs based on market data and we optimize accessibility and penetration of the local market. We implement our retailing concepts and secure that we fully utilise our assets in the new world of IKEA – all at lowest cost, with economy of scale and sustained profitability.

We believe you have minimum 3 years of experience from administrative work and proven training in Project Administration or equivalent. Furthermore you have experience of working with administrative tools such as Basware, MS Office, MS Project, Intranet and experience of working accounting- and cost follow up tools.
You have knowledge in following areas:
• about relevant routines within project area of responsibility
• of project management processes including methods and tools
• of IKEA Way of working
• of how to improve existing ways of working
• about our Retail organisation, strategies, processes and working methods
• in the tools Basware, MS Office, MS Project, Intranet
• of IKEA concept, brand objectives, values and vision
• of how to create and implement change initiatives and manage stakeholders in IKEA
• of the IKEA multichannel shopping experience
• fluent in German and English, both spoken and written
In addition you have good analytical skills and are capable to act with a holistic perspective. Flexibility and simplicity is your way of working and you take on responsibility from start to end, achieve goals and keep deadlines. Other experiences of yours is to work effectively in a multinational/global organisation and you understand customer needs in order to challenge common ways. Furthermore you are familiar with IKEA tone of voice build trustful relationships and motivate others according to assignment description.
About this work area
In the role as Project Administrator you will provide support for Project Manager and project team, such as project meeting scheduling and securing compliance with working methods and agreed routines. Support with activity planning (e.g. in roll-out projects), report on progress, analyse data and documentation. Support Project Manager with cost management.
You will:
• assemble and run information publishing according to communication plan
• manage meeting planning and invitations such as taking minutes, manage distribution lists, manage review of invoices and coordinate travels
• secure compliance with working methods and agreed routines
• investigate and provide support for decisions
• provide general project support within areas of planning, report on progress, analyse data and documentation
• support Project Manager with cost management
• support with documentation structure
• work across functions within the market
• drive an open and sharing climate, being a role model of the IKEA values
This role is located in Service Office Wallau and requires frequent travelling.
