IKEA Supply (Malaysia) Sdn Bhd is a wholesale unit under Inter IKEA Group and is strategically located in Port Klang, Selangor Malaysia. As a Wholesaler, we buy, transport, store and sell IKEA products. We are responsible for cross-border flows, replenishment and provide franchisees in Southeast Asia, India and Australia with IKEA products. Incorporated in 2018, IKEA Supply (M) Sdn Bhd also operates a full-scale distribution centre which serves as a hub to facilitate the flow of IKEA products to retail stores in various markets in the region, including Malaysia. The distribution centre is operated alongside contracted service providers.

About the assignment

To facilitate the day-to-day activities necessary to secure all import and export documentation and certificates necessary for compliant and required by Other Government Agencies (OGA), accurate and complete declaration processes. Ensure the efficient and timely receipt, review, registration and record retention of all required import and export documents in countries for assigned geographical area.      

 

Key tasks including:

·  Working with assigned Asia Pacific COSC secure efficient and timely handling certificates required for import and export declaration processes. Covers related OGAs requirements customs declaration systems used and manually processed countries.
·  Secure relates OGAs relevant documents are available on time to secure timely release of imports and exports, both in normal transaction and bonded warehouse transaction
·  Secure there are properly registered, filed/archived according to import and export requirements of country and company business needs. This includes issuance and maintenance of certificates of origin, import and export licenses and certificate, attestations, product test report, product certification and supporting documentation.
·  Securing the documentation, permit and licenses needs of country specific according to rules and regulations
·  Working with assigned Asia Pacific COSC proactively identify missing documents and certificates and verification of the documents and certificates prior to shipment arrival and declaration filing.
·  Ensure timely and accurate registration of certificates
·  Archive and file documents in accordance with approved record retention protocols and procedures for assigned country. As the preferred method of record keeping and archiving is electronic, scanning will be required which also involving indexing process
·  Contribute to constant awareness of the customs operational processes concerning documents and certificate requirements. Use awareness to continuously evaluate current ways of working, identify control weaknesses, contribute, and take initiative for constant development of operational efficiencies, recommending solution enhancements and implementing improvements together with internal and external stakeholders.
·  Support during internal and external audits, both from operations and compliance audit.
·  Secure and maintain good communication and relationship with related OGAs.
·  Any ad hoc task being assigned from time to time.
Qualification

About You:

·  You have degree in Supply Chain Management or equivalent qualification
·  You have minimum 2 years of relevant working experience with import and export industry, supply chain or customs brokerage
·  You have ability to organize and manage daily assignments and tasks according to priority and deadlines
·  You pay attention to details and process oriented.
·  You are independent and a team contributor
·  You have strong organizational and interpersonal skills
·  You have high level of communication (verbal and written) skills in English and local language
