Ingka Centres develops and manages retail destinations for the many people, anchored by IKEA stores. Our global portfolio includes 40 shopping centres and 25 retail parks that together attract more than 400 million visitors per year in 14 countries in Europe and Asia.

Now we are looking for both communicative and analytical candidate to become a Lease Administrative Team Specialist in Ingka Centres Russia.

At this position we expect you to support leasing deals, organize and support document flow process, support the Team Leader in carrying out administrative tasks.

Responsibilities:

· To support leasing deals according to the lease strategies by:
· Taking part in important tenant negotiations according to the job responsibilities;
· being the first contact for tenants for agreement related questions and supports existing and new tenants on the internal leasing procedures;
· Updating tenant's information in the databases (legal information, contact data, etc.);
· Timely preparing and checking the documents for lease in respect of tenants in accordance with the internal rules and regulations, negotiating the documents with other relevant departments, and also controlling/monitoring the lease documents;
· To support the Team Leader in organizing a smooth, fast and highly qualified document flow process by:
· Checking and registering documents in the financial system;
· Controlling/monitoring the internal signing process and the signing process from the tenants side;
· Archiving documents.
· To support the Team Leader in carrying out administrative tasks such as:
· To organize a working place for a new employee and a favorable working atmosphere for the co-worker in the Leasing Department;
· To optimize and implement the existing procedures and processes within the Lease Administrative Team;
· To update the organizational changes of the Leasing department;
· To make the purchase requests and orders according to the Leasing department's needs;
· Preparation of reports, documents and presentations related to different administrative issues;
· Other processes and tasks related to the administration;
· Responsible for compliance with the mandatory requirements of law of the Russian Federation, IKEA Group Steering documents and other internal Company's policies, rules and manuals;
· Other tasks as assigned by line manager and special projects as defined in company business plan and or Function/Department/Group action plan.
Requirements:

· Higher Education;
· 2 years of experience in real estate, retail, or hospitality business;
· Has experience with processing a big q-ty of documents, Document flow supporting deals with counterparties
· Has background in Administration, Legal, Finance or Accounting;
· Business minded, structured and self-organized;
· Possesses superb customer approach;
· Fluent in English, spoken and written;
· Has advanced communication skills, high integrity;
· Advanced user of Windows (Excel, Word, PowerPoint, Outlook, CRM);
· Ability to multitask and to assist several Team Leaders/Managers.

· Location: Khimki Business Park;
· Temporary contract;
· Working schedule: Mon-Fri, 9:00-18:00;
