About the job
As Office Service Partner, you work closely with your team and colleagues every-day. Together, you are meeting and greeting our visitors and co-workers at our office sites in Malmö in an IKEA way - with warmth and a twinkle in the eye, helping everyone to feel welcomed and supported. In parallel to that, as a team, you are responsible to keep up the reception and office environments, from our “FIKA” stations to our open spaces and meeting rooms.
On a daily basis, you perform office supply replenishment routines, e.g., food and drink service, paper and pens and order new office supplies when needed. In close cooperation with our cleaning services, we expect you to monitor that routines are followed in relation to keeping a clean office environment, flag any issues, and act when necessary, ensuring office furnishing and equipment is fresh and well-functioning.
As an Office Service Partner, we expect you to feel confident working in various IT solutions and systems related to office operations, e.g., visitor registration, room booking, replenishing and access solutions. (Examples could be MS Excel, Teams, Outlook and SharePoint as-well-as online web-portals).
You are a trusted service partner for all our co-workers and visitors to our office and provide hands-on resources during (large) events. This can include arranging room setup, FIKA according to given specification and welcoming guests of the events.

You will carry out and/or support routines related to safety & security and technical service of the facilities. Being a team player is a must, but you should also be able to work independently in a self-managed way. You should possess good administrative skills and have attention to detail to accurately create and verify reports, lists, etc. and work daily with MS Office and other administrative routines.
To be successful in this role, the following knowledge, skills and experiences would be valuable:
· Knowledge of office and meeting related topics such as; assigned based office environment, office communication, digital workplace, hosting events, fundamental office services as cleaning, safety & security, etc.
· Experience of working with various IT solutions and systems related to office operations.
· MS Excel, Teams, Outlook, SharePoint and online web-portals skills.
· Ability to organize, take initiative and work well in a changing environment.
· The ability to build trusting relationships and long-term partnerships with stakeholders at all levels.
· Good communication skills in English and Swedish.
More Information
This role is an on-site full-time (40 hours per week) and based in Malmö, Sweden. We have 2 openings available for this position. This role sits in the Workplace Operations and reports to the Office Service Manager. Start date will be 1 January 2024.
