Trademark & Global Marketing, Commercial & Technology, Legal Department position provides support to the Global Intellectual Property, Marketing and Commercial legal team with respect to both administrative operational matters as well as general paralegal and/or trademark administrator responsibilities. This coordinator will be responsible for maintaining the Trademark database and providing support with the intellectual property processes including trademark, copyright, and patent application, prosecution, and maintenance and renewal work, assignments and recording, invoice processing, allocation and reporting, and database administration, including docketing. The role will also be the first point of contact for the Global Marketing, Commercial & Technology team, consolidating training materials, creating and updating a shared drive location for training materials, forms and templates, responding to routine emails and providing assistance to the lawyers in reviewing, analyzing and abstracting contracts. In addition, the coordinator will be responsible for performing a variety of administrative, office management and project duties, including directly supporting 2-3 VP level or above leaders within Business Reputation and Responsibility (BRR) (including scheduling meetings and travel, expense reports, assisting with business initiatives and coordinating meetings and communications.
Your day to day
Essential Duties and Responsibilities
· Manage the reporting function for certain Global functions within BRR
· Provide support and ensure appropriate interface between trademark database (Anaqua) and matter management/document management database (Passport)
· Assist in entering new matters into Passport matter management system and keeping matters current
· Manage and track progress for key initiatives/projects
· Maintain up to 3 executives’ appointment calendars; coordinate meeting arrangements (i.e., facilities, contact applicable parties, etc.); make extensive international and domestic travel arrangements; coordinate activities to ensure smooth flow of business operation.
· Ensure GC logistically prepared for leadership meetings by printing/coordinating pre-reads and managing logistics
· Assist with presentation preparation
· Adjust schedules, meetings and activities based on the GCs daily priorities and activities. Anticipate potential conflicts in priorities and exercise discretion to solve them appropriately.
· Perform other support duties or special projects as assigned by GC or designees to facilitate the smooth operation of the team.
· Work closely with IP Legal lead to support the trademark function
· Docket new trademark matter filings, incoming office actions, and correspondence.
· Maintain IHG Trademark database (Anaqua) by ensuring accuracy and timeliness of IP updates and deadlines, coordinating with external counsel databases, creating and managing reports, and providing training and assistance as necessary.
· Respond to docket related inquiries
· Timely prepare customized IP reports
· Resolve docket inaccuracies and other associated requests
· Execute invoice processing, payment, business unit allocation, workflow monitoring, and e-billing coordination with outside law firms.
· Track budgets and collect and report year-end accruals
What we need from you
Education Bachelor’s Degree in a relevant field of work or an equivalent combination of education and work related experience.
Experience
5+ years of progressive work-related (Legal Department preferred) experience with demonstrated mastery of, technical and business knowledge and writing, and understanding of multiple/disciplines/processes related to the position. Understanding of international trademark law that will allow the completion of docket associate duties with attention to detail and minimal manager supervision a plus. Must be intelligent, able to organize and prioritize numerous tasks and complete them under time constraints.
Technical skills and Knowledge
· Succinct clear, concise and succinct communication skills, including adapting both verbal and written communication to the needs and level of user.
· Demonstrated ability to use consultative or persuasive communication skills to effectively resolve issues and drive solutions with other company personnel, outside counsel, vendors, and others with whom the role interacts.
· Demonstrated ability to initiate and direct multiple project assignments, medium to large-scale, in a relatively unstructured environment from conception through implementation.
· Strong consultative skills and demonstrated ability to achieve corporate business objectives across functional boundaries.
· Maintenance of confidential information and data absolutely critical.
· Demonstrated advanced working knowledge of personal computers; included Microsoft applications (Word, Excel, PowerPoint, Access, etc.).
· Demonstrated advanced working knowledge of trademark docketing systems (preferably ANAQUA
