Human Resources is responsible for implementing HSBC's people strategy. It facilitates talent management, succession planning and employee mobility while defining and overseeing frameworks that support employee performance management, reward, learning and development, resourcing and engagement.

Key Objectives for Human Resources Administrative Officer:


The Chief Administration Office (CAO) function in Human Resources is responsible for financial and position governance, business performance management, Operational Risk oversight, and communication / engagement within the function. The HR Administrative Officer role assists management in completing a variety of administrative and support activities, ensuring tasks are completed in a timely manner, accurately, and in compliance with internal processes and guidelines

Principle Accountabilities:

Support the Human Resources Chief Administration Officer in running a commercial and compliant function that operates with uncompromising integrity and objectivity, supporting the business in mitigating risk and reputational damage and improving Human Resources return on investment. Specific areas of responsibilities may include:

· Processing and tracking of invoices, ensuring proper signing authorities' signature, and submitting to Canada Accounts Payable for processing; drafting journal voucher entries for review and approval for financial accruals
· Review reimbursements and invoices requests related to the Global Mobility program, ensuring charges are in line with department approvals prior to processing
· Tracking of budget within the function including travel and training; daily and monthly income/expense reconciliation and escalating unusual items
· Ordering stationery and supplies according to Bank policies and internal guidelines
· Main point of contact for HSBC mail room
· Assisting to resolve facilities issues
· Raising Group Service Requests (GSRs) and other necessary documentation to provide/revoke building access, equipment, and system access
· Facilitating and recording of records retained at external storage
·
Consolidating Department Records Retention Schedule and updating as required

· Assist in the maintenance of Business Continuity Plan (BCP), coordination and administration of Business Continuity Plan Alternate Site Tests, Remote Access Tests, Workload Transfer Tests, and maintenance and distribution of Business Continuity Plan Call Tree Lists
· Contribute to the continuous management of risks within the department through reassessment of internal controls, ensuring processes adhere to regulatory and compliance requirements
· Assisting with other duties/projects as assigned
· Works collaboratively with immediate and wider team members to ensure company priorities and objectives are met and ensure HR remains compliant with Group requirements and standards.
· Put the customer needs and experience at the heart of all decision making and deliver fair outcomes for customers
· Owns and resolves issues with all stakeholders and/or customers and understands how and when to escalate
· Assist in the preparation of reporting to relevant Human Resources senior management committees as required
· Regularly put forward process improvement suggestions and assist in the development and implementation activities / changes
· Encourage constructive cross-business teamwork by demonstrating collaboration and matrix management in action and challenging actions and behaviors that are not consistent with HSBC's policy and/or the best interests of the organization.
· Actively take part in providing constructive feedback and suggest solutions
· Be an advocate of change. Support the team in the adoption of new / changes to processes

Desired profile



Qualifications :

Knowledge & Experience / Qualifications:

·  Minimum of two years proven and progressive operational and administrative experience or equivalent.
·  High School diploma, undergraduate degree would be an asset.
·  Familiarity with the company's global and local policies, processes and systems would be an asset.
·  Ability to build and maintain key relationships using impact and influence skills.
·  Strong problem-solving, lateral thinking, communications and presentation skills.
·  Attention to detail, and to maintain confidentiality of information.
·  Ability to adapt in a dynamic and fast paced environment.
·  Proficient with Microsoft Office applications including Word, Excel and PowerPoint.
