A Groups, Meetings and Events Sales Coordinator will fully support, from administrative, customer service, and sale lead development perspectives, the Sales team to develop future and repeat business.

What will I be doing?

As a Groups, Meetings and Events Sales Coordinator, you will fully support the GM&E team by successfully organizing office administration and coordination functions, assisting the GM&E team in achieving their objectives, and working in close coordination with the hotel’s operations teams. Specifically, a Groups, Meetings and Events Sales Coordinator will perform the following tasks to the highest standards:

·  Establish effective liaison and communication process with the key operating departments within the hotel to ensure delivery of customer/client requirements.
·  Support the GM&E sales team with contracting, proposals, reporting, and sales systems.
·  Organize and manage the GM&E administration on daily basis, maintaining a productive and effective support service to the GM&E office.
·  Provide accurate and up to date information and alternatives, responding to requests in a timely manner.
·  Become the point of contact to the GM&E team on the internal and external levels.
·  Updates calender accordign to information about events in town.
·  Develop and maintain working knowledge of Hilton’s products and services.
·  Follow up on the GM&E Sales team’s activities and ensure it is processed.
·  Follows up the signature process of group contracts.
·  Respond on inquiries during GM&E Sales team absence in an effective and timely manner and to report back to the team such inquiries.
·  Be able to answer to operational team’s questions and inquiries regarding any confirmed or tentative business.
·  Checkes and coordinates ISG documents for any outsource build up companies with security department.
·  Publishing BEO’s on daily basis.
·  Publishing weekly event information on daily basis.
·  Determines office supply needs and creates P.O’s.
·  Assist on other administrative responsibilities when required and directed.

·  University graduate (preferably in Tourism, Hospitality, Business Administration, or related fields)
·  Experience in office management and coordination in a similar position
·  Strong communication and organizational skills
·  Proficient in MS Office programs (Word, Excel, PowerPoint, Outlook)
·  Team player with a solution-oriented approach
·  Detail-oriented and responsible
·  English communication skills (both written and verbal)
·  Time management and prioritization skills
·  Committed to confidentiality and professionalism
·  Knowledge of the hotel property management systems
