Job description

Role Mission

The role of the Assistant Media Planner is to support all aspects of traditional media planning related to print media activity and out-of-home advertising. Responsible for executing national and local media plans in collaboration with Media Manager partnering closely with Corporate Image Department, ad agency and WW Media Team. This position reports to Media Manager.

Key Accountabilities

Planning

· Maintain media plans in various formats (filemaker, excel, WW media plan, MMS).
· Maintain day-to-day needs and changing requirements for all media plans.
· Coordinate RFP's to media partners.
· Organize, file, and distribute media proposals, documents, and magazines.
· Attend meetings and take notes with publishing partners/vendors to understand available opportunities.
· Administer national/local print and outdoor insertion orders (fashion, timepieces, jewelry and eyewear) including preparation, execution and verification.
· Field day-to-day questions and build relationships with 3rd party companies and advertising partners.
· Update competitive paging and positioning reports on a monthly basis.
· Assume ownership over the local print plans with awareness related to lease requirements.
· Keep historical analysis charts up to date with current paging and spend.
· Secure samples for all lease required advertising catalogs.
· Lend additional media planning support as needed.

Creative

· Compile all material deadlines requesting extensions from vendors as needed.
· Manage all material deadline charts and execute creative requests through the Corporate Image Department in Milan.
· Work closely with CID team to resolve any creative issues such as wrong spec size, tagging, cropping issues.
· Liaise with Kering Eyewear and GGWJ to confirm advertising creative selection.
· Traffic all materials to media partners after ensuring correct image selection and tagging.

Billing

· Prepare annual media plan billing chart for finance department and update spend quarterly and distribute.
· Review and handle all first round approvals of traditional media invoices on a daily basis.
· Proactively work with AP, agency and publishing partners to resolve any billing or payment issues.
· Ensure proper documentation of all approved invoices.

General

· Greeting guests at the elevators and taking drink orders.
· Maintain up-to-date information for media partners in the Media Publishing contact list.
· Coordinate and schedule meetings with media partners.
· Build binders for Sr. Media Director in preparation for global meetings.

Desired profile

Qualifications :

Job Requirements

·  College Degree
·  2+ years in media/advertising, preferably within the luxury and /or fashion industry.
·  Experience in print and digital media planning/buying preferred.
·  Highly proficient in Microsoft Office (Word, Powerpoint, Excel).
·  Experience in Software programs FileMaker and Infocube is recommended, but not required. Willingness to learn is a must.
