TITLE:  Sales Logistics Coordinator and Administrative Support

 

REPORTS TO:   SGGc CFO and Controller

 

JOB OVERVIEW:   Responsible for the day-to-day interaction with customers and factories in the placement, import and delivery of orders.

 

LOCATION:   Montreal - Canada

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

·  Obtain answers to customer inquiries from the appropriate factory.
·  Place orders with appropriate factories, ensuring pricing, quantities, and item agree with customer order and pricing is in accordance with latest approved pricing.  Follow up with customer with discrepancies.
·  Maintain a current pricing binder with approved factory and customer pricing.
·  Obtain order acknowledgement from factory on a timely basis, examine for accuracy and forward corresponding order to customer.
·  Follow order progress through to delivery working closely with freight forwarder to insure prompt filing of ISF import docs, clearance through customs, and coordination of delivery with trucker and customer.  Closely follow deliveries to avoid storage charges or excess charges by the trucking company or shipping line.  Update customer periodically with order status.
·  Notify sales management of any significant items or delays.
·  Obtain invoice from factory once loaded and review for accuracy
·  Maintain a database of trucking companies and records with rates in order to minimize charges.
·  Assist as needed to submit invoices to broker in order to clear thru customs and arrange delivery.
·  Analyze broker bills closely to ensure appropriate gst rates and confirm any excess fees for wait time or demurrage with customer.
·   Maintain Canadian Customs order entry numbers.
·  Maintain customer order files with order, invoice, bill of lading and correspondence in support of all order and delivery decisions made.
·  Assist Sales Manager in generating new interest in products through communication or a marketing program.
·  Maintain excel files of all orders, invoices number/amount, and commission due from each factory.  Work with controller to reconcile commission paid and outstanding list.
·  Assist in the implementation of internal controls as assigned.
·  Assist factories in collections of past due invoices.  
·  Receive customer claims, file claims with appropriate factory and track issuance of credit by factory to customer.
·  Receive and distribute all incoming mail. 
·  Maintain all office equipment.
·  Order all necessary office supplies.
·  Assist other staff as necessary.

Job Skills:

·  Must be a competent communicator via business letters, Internet and email both in English and French.  Spanish also a plus.
·  Highly organized and detail oriented.
·  Strong time management skills.
·  Must be adept in use of MS Office 2000 or later, particularly Excel and Word, and ACT or similar database to basic level.
·  Must be an excellent telephone communicator.
·  Experience in logistic/export a plus

 

Education and/or Special Training:

BA or BS Degree or equivalent is desired or sufficient experience.
