We have a strong trade mark team with a proactive approach to portfolio protection and maintenance, with expertise in all areas. We handle all aspects of establishment, use, registration, maintenance and enforcement of trade marks.
The Role
We are currently looking to recruit Trade Mark Records Administrator to join the TM team in our London office. This is a permanent role.
The successful candidates will provide a support service to the Trade Mark fee earners in a support role which shall involve all aspects of trade mark records and will be reporting to Trade Mark Partners /Fee Earners/ Records and Formalities Manager.
DUTIES AND RESPONSIBILITIES
Primary Duties
- Opening files
- Opening computer records - Inprotech and Accounts
- Opening manual records
- Maintaining computer and manual records
- Creating and maintaining entries in a names database
- Liaising with third party renewals provider (CPA) to ensure accuracy of records/transfer of instructions
- Closing files (computer and manual)
- Producing and updating prompts/reminder lists
- Dealing with trade mark communications, extracting and docketing records entries and saving to DMS
- Generating standard letters/data sheets etc to go to clients
- Preparing schedules
- Matching post to files
- Providing general support to TM Partners/Fee earners
- General duties commensurate with position
Secondary Duties
- Assisting with assignment recordals, changes of name, mergers, reclassifications and changes of client/representative
- Exceptionally renewing trade marks
- Preparing cost estimates for clients
- Preparing and filing applications
- Monitoring WIP, preparing draft bills, dealing with accounts, billing and invoice enquiries
- Handling UKIPO/OHIM notifications
- Handling client enquiries
- Covering for absence of Trade Mark paralegal, including dealing with trade mark renewals
CORE SKILLS AND EXPERIENCE
- At least 2 years of experience as a records administrator in a deadline driven legal environment.
- Experience in database entries and maintenance is essential
- Excellent communication skills and a logical and organized approach are essential.
- Exceptional attention to detail and a high level of accuracy are essential.
- A pro-active nature with the confidence and commercial awareness to be able to relate to clients at all levels (mainly internal) and be capable of working both independently and as part of team.
- Knowledge of Trade Mark law, formalities and practice is desirable.
- Inprotech knowledge is desirable.
- ITMA qualification an advantage, but not mandatory

- £20,000 - £24,000 pa depending on experience.
