Overview
As a Management Assistant, you will support the VP and the local management team in the broadest sense of the word. The key responsibility is to handle a wide range of administrative and executive support related tasks. Another major responsibility is to support the building and management of the internal communication: strategy and deliverables to drive engagement, empower & inspire, and elevate our global communications culture and localize it for our region.
Responsibilities
You will be responsible for efficiently managing agendas, handling correspondence, organizing meetings, and taking minutes. You will also oversee the management of expense claims and expenses, coordinating incoming and outgoing mail, and facilitating a structured and pleasant work environment. In addition to secretarial and organizational duties, you will play a key role in office management, maintaining order, clarity, and a positive work environment. You will also be responsible for organizing (internal and external) events and meetings.
You will act as the VP’s representative: ensuring professional and representative communication, both internally and externally. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, pro active attitude and attention to detail are equally important.
Tasks and responsibilities
· Responsible for calendar management, requiring interaction with both internal and external executives and assistants, as well as vendors, to coordinate a variety of complex executive meetings
· Arrange travel schedule and reservations for executive management.
· Assist with preparation of presentations and/or reports when required
· Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail.
· Perform high level administration
· Manage incoming phone calls, messages, and call backs to follow up.
· Update and chase delegated tasks to ensure progress to deadlines.
· Facilitation of Mail: incoming and outgoing – registered, UPS, etc.
· Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
· Process highly confidential information; maintaining and respecting confidentiality
· Assist in the coordination and organization of company events when needed.
· Set up and oversee editorial journeys for internal-employee communications channels
· Create moments that matter for our team members which drives engagement (anniversaries, special events)
· Be the voice of our internal culture and represent and connect with SNKZ committee
· Work closely with HR, local Management Team and Operations to communicate the state-of-the-business, customer successes, proof points, etc., internally and through other relevant company channels, as appropriate.
· Foot Locker Logistics can also involve you in Ad hoc projects as required and tasks not listed above, depending on evolving business needs and on your ability to perform on those tasks.
Qualifications
· MBO+/HBO work and thinking level.
· At least 3 years of relevant work experience as a management assistant, executive secretary, or office manager.
· Excellent organizational and communication skills.
· Representative, professional, and service oriented.
· Proactive, structured, and able to prioritize.
· Good command of Dutch and English, both spoken and written.
· Experience with MS Office and preferably with modern digital tools (e.g., Teams, SharePoint, booking and expense management systems).
