The Buying Coordinator’s main responsibility is to provide advanced administrative and operational coordination to the Buying Team. This role plays a key part in ensuring the smooth execution and continuous improvement of the buying and merchandising processes, with a strong focus on accuracy, efficiency, and cross-departmental collaboration.

Responsibilities

Tasks & Responsibilities

·  Oversee the seamless execution of the monthly buying cycle, ensuring timelines and deliverables are met
·  Create accurate product information and vendor purchase orders, proactively managing deadlines and process efficiency.
·  Document costs and manage retail database, supporting the Buyers with key insights and analysis where required.
·  Liaise with department secretaries and cross-functional teams to ensure timely maintenance of purchase orders and product information.
·  Manage SKU and assortment maintenance in collaboration with the Buying and Merchandising teams.
·  Maintain and update seasonal catalogues, price lists, and supplier documentation with a focus on data integrity and version control.
·  Support Buyers in the organization and follow-up of vendor meetings, including preparation of reports, samples, and action tracking.
·  Collaborate with Buyer Assistants to streamline workflows and establish best practices across the department.
·  Act as a central point of contact for coordination between Buying, Merchandising, Marketing, and Finance, ensuring accurate information flow and alignment across teams.
·  Contribute to process improvement initiatives aimed at increasing efficiency and accuracy within the buying function.
Qualifications

Qualifications

·  MBO/HBO level education required, preferably in Business, Retail, or related field. 
·  1 year of experience in a buying, merchandising, or administrative coordination role. 
·  Strong interest in retail and sports fashion, with good understanding of product and supplier processes. 
·  Excellent communication skills in English (additional European languages are a strong asset). 
·  Advanced command of Microsoft Office (Word, Excel & PowerPoint) and familiarity with ERP or PLM systems. 
·  Highly organized, analytical, and able to prioritize in a fast-paced environment. 
·  Proactive, solution-oriented, and confident in working independently while maintaining a collaborative approach. 
·  Positive, detail-focused, and results-driven team player who contributes to continuous improvement.
