Are you an experienced Property Manager, Senior Administrator, Business Support Manager, Office Manager, Personal Assistant (PA) or Executive Assistant, in a Property related business?
We are an established group of property companies focusing on investment, development, lettings and management of residential and commercial property across North London.
This is a varied role which reports directly to the Group Director.
The ideal candidate
You will of-course, be a highly efficient and super-organised individual. It’s for someone who can put their arms around the day-to-day operations of our business and be a truly safe pair of hands.
You will ooze an air of "can do" and will be a highly motivated fixer - the quiet hero/heroine who makes sure we operate like a well-oiled machine! They will be the person who keeps us on track day to day, understands our systems and makes sure we use them! Keeps a handle on our customer’s requirements, supports the team, builds strong constructive relations, and keeps things organised and efficient.
Essential requirements:
- Minimum 2 years experience required in a property lettings, property management or property development role
- Highly organised with excellent communication skills
- Experience of using MS Word and particularly Excel
- Experience of LetMC lettings software (or similar), would be an advantage, but training will be given
Job role:
There`s always a lot going on in this friendly team and you`ll enjoy a full range of activities to include:
- Ensure all tenancy records are complete and up to date
- Process rent payments, ensure all rents are entered into our LetMC property management system and produce month-end Landlord statements
- Tenant referencing
- Act as Property Manager for a residential and commercial property portfolio
- From time-to-time, conduct some tenant viewings, check-ins and check-outs
- Act as block manager for a small portfolio of freehold buildings (Some exposure to block management would be an advantage, but training will be given)
- Maintaining building insurance policies and utility bills in tenanted properties which we are responsible for.
- Provide PA and administrative support to the 2 Directors
- Researching new suppliers, negotiating deals to ensure we always obtain best prices from our suppliers and contractors
- Ordering building materials for our property development teams
- Answering telephone calls and dealing with email enquiries
- General office admin duties (including managing part-time admin staff)
- Tenancy contract preparation
- Organise and maintain the office filing system
- Ensure that our invoicing and receipts systems are a 'dream’ for our bookkeeper
- Enter data on the in-house database system
- Produce weekly and month-end management reports (using Excel)
- Chase late rent payments, by phone and process payments by credit/debit card
- Manage annual rent reviews (section 13 notices)
Working hours: Mon to Fri 9am-5:30pm (with viewings, occasionally in evenings)
(We will also consider applicants with strong previous experience who are looking for a part-time role, 3 days a week (Tues, Wed, Thurs)
Office location: The role will be based at our Northwood office. (There may be a requirement 1 or 2 days a week to work from our North London Archway office)
Terms:
- £23,000 - £35,000 pa (depending on experience)
- 28 days leave, including all public holidays and our xmas shutdown period
